Job description

In collaboration with the CNPA Director of Clinical Operations, the Practice Operations Administrator provides management oversight and guidance to CNPA Practice Operations corporate-wide including practice process redesign and improvement, operationalization of key Quality Improvement and regulatory initiatives. Is responsible for implementation of complex systems process analysis, design and modeling, development of new solutions for complex projects; document findings and make recommendation for process improvement. Coordinates and leads projects involving internal and external stakeholders for integrated outcomes. Provides analysis and interpretation of data from multiple sources and recommends action plans. In collaboration with the CNPA Director of Clinical Operations, assists in developing and instituting CNPA-wide operating procedures. Ensures that CNPA operations are synchronized with practice acquisitions. Responsible for implementation of processes to improve Value Based Payer measures and strategies to improve patient care, with monitoring of barriers and resolutions. Serves as a resource to CNPA's primary care team. The Practice Operations Administrator collaborates with Physician Director and CNPA operations team to support growth, development and implementation of Population Health, clinical integration initiatives, and patient-centered medical home and oversees clinical and operating standards across all CNPA practices. Minimum Education
Bachelor's Degree (Required)
Master's Degree Advanced degree such as MSN/MPH or MBA w/ healthcare concentration, MHA or equivalent preferred (Required)
Minimum Work Experience
7 years progressive experience in healthcare practice management setting with direct hands-on experience with analysis of business and financial outcomes (Required)
3 years practice Management experience (Required)
Required Skills/Knowledge
Possesses strong process redesign skills and techniques, leadership attributes (strategic thinking, the ability to drive business change, sharing of organizational goals, leading multidisciplinary groups), ability to multi-task, excellent organizational skills and effective communication and presentation skills.
Demonstrates a high level of understanding of organizational business systems and industry requirements.
Excellent oral and written communication skills
Strong analytical skills with ability to interpret root cause and resolution strategies.
Experience and proficiency in analytics with an Electronic Medical Records platform.
Knowledge of physician Practice Operations and business office management is required.
Strong knowledge of process redesign techniques and skills, problem solving, change management, and customer services skills.
Working knowledge of Visio, MS project, Microsoft Word, Excel and PowerPoint required.
Knowledge of value based quality measures is required.
Functional Accountabilities
Practice Operations

  • Provide (re)design, implementation, and educational guidance on all operational workflows, including HIM, phone system, electronic health record, and registration /scheduling.
  • Coordinate and facilitate the effective delivery of patient services by regularly monitoring patient flow and program operations
  • Serve as practice manager over assigned practice site(s) and when vacancies occur, until sufficient supervisory role is in place.
  • Design, implement, and maintain Practice Manager training, including mentorship and development.
  • Analyze current front office processes and identify potential or existing problems; document findings and make recommendations for process improvements.
  • Work closely with Practice Managers to review all policy and procedures are properly followed; identify areas of improvement and make recommendation for actionable change.
  • Develop, mentor, and lead clinic operations managers in administrative functions and serve as a resource in support of Practice Operations
  • Collaborate with Physician Leaders, Medical Director(s) and practice managers to implement improvement initiatives related to practice design and workflow efficiencies, including front desk as well as clinical workflows.
  • Serve as a resource and guide the individual practice teams to ensure adherence to practice and organizational standards.
  • Ensure that physical space is maintained per regulatory safety standards.
  • Provide support and guidance during expansions, build-outs, or renovations of physical space.
  • Assist the Director of Business Operations in evaluating and maintaining vendor contracts, including identifying new vendors to promote cost savings and ensuring the contracts remain active good-standing status.
  • Supervising and redirecting assigned staff as needed to improve operational efficiencies and service delivery
  • Serve as overall liaison between the CNPA Director of Clinical Operations and Director of Business Operations and the CNPA Practices
Practice and Process Improvement
  • Recommend and facilitate quality improvement efforts with the support of the Quality Management Team.
  • Collaborate with CNPA Director of Clinical Operations to create process change by integrating new processes with existing ones and communicate the changes to the impacted teams.
Managed Care
  • Collaborate with Director of Clinical Operations, Project & Analytics Manager and QI Program Manager to identify areas to focus improvement initiatives such as gaps in care.
  • Utilize auditing, education, coaching, development of improved workflows, and outreach as part of initiatives.
Education
  • Assess educational needs of CNPA support staff.
  • Collaborate with Director of Clinical Operations to develop and implement a CNPA training for staff
  • Routinely evaluate the effectiveness of the teaching plan in meeting educational goals and make recommendations for change as needed.
  • Serve as an educational resource in the development, review or revision of operational education standards and materials.
  • Create education based on data audits to affect operational improvements and efficiencies.
Staff Development
  • Hire, evaluate, onboard and discipline direct reports.
  • Provide ongoing coaching and feedback to improve performance.
  • Support Practice Managers in the planning and implement employee development plans.
  • Evaluate and determine appropriate staffing mix to meet needs of CNPA.
  • Assess, collaborate, and create educational needs for staff in conjunction with the CNPA Support Team
Practice Acquisition & Integration
  • Work with practice acquisition team, Directors, and Business Manager to ensure integration of newly acquired practices.
  • Mentor new practice staff to optimize workflow for new practices and assist in integrating team with CNPA processes.
