JOB SUMMARY
Responsible for overall management of both business operations and clinic processes of the clinic. Works very closely with the operational and clinical leadership to ensure that organizational goals and objectives are met. Supervises and directs staff, conducts required performance appraisals. Serves as the point of contact for human resource related questions and direction.
RESPONSIBILITIES AND AUTHORITY
- Maintains relationship with all levels of staff to accomplish goals of the organization and a positive patient experience.
- Directs, supervises, and coordinates activities of the clinic including systems, materials management, data processing, and daily workflow. Identifies and addresses problems related to staffing, utilization of facility, equipment, and supplies.
- Works with medical and administrative staff to ensure compliance with standards and regulations. Monitors processes to promote positive outcomes in all areas of: Quality Assurance, Compliance and Risk Management, HIPAA, and OSHA/Infection Control.
- Reviews operational problems, policies & procedures and reports finding to the operational leadership. Addresses downward trends in patient visits by review and analysis of patient processes.
- Daily monitoring of providers’ schedules to facilitate patient access. Assist with addressing downward trends in patient visits by review and analysis of patient processes.
- Conducts daily huddles to facilitate team thinking and communication, report clinic activities including providers’ schedules, discuss open corrective action plans, and identify issues that may need escalation and resolution beyond the team and supervisor.
- Gathers and reports monthly data for statistical and planning purposes, identifying positive outcomes and/or adverse trends, and implementing corrective action to improve outcomes.
- Follows operational leadership guidance in a strong leadership role to promote staff adherence to policies and procedures including disciplinary process if warranted.
- Assists in the training and orientation of new staff and provide direction on overall organizational goals and inter-departmental interface.
- Assess applicants and interviews staff with clinical management and as directed by Human Resources and provides input on the hiring of applicants.
- Ensures reviews are conducted timely accurately.
- Monitors the payroll system to assure accuracy of employee time clocks, amount of overtime, tardy and absenteeism trends.

QUALIFICATIONS, KNOWLEDGE, SKILLS
Associate degree in business, finance, or health care preferred.
Bachelor of Science or Business Administration highly desirable.
Experience may be considered in lieu of education.
Minimum of five (5) years experience in health care management or supervision.
Knowledge of computer systems and applications including electronic medical records.
Skills in planning, organizing, delegating, problem solving, and decision-making.
Knowledge and experience with a strong quality assurance program; gathering and interpreting data.
Knowledge specific to HR regulations including OSHA, hiring, terminations, EEOC, cultural competencies, reference checks, payroll, and standard labor law practice.
Strong interpersonal skills to mediate conflict resolution and to be a “change agent” based on strong leadership skills.
High degree of initiative, judgment, discretion, and decision-making demonstrated in prior employment positions.
Demonstrated improvement outcomes in patient care and/or workflow re-design.
Prior experience in development of policies and procedures, data spreadsheets, job descriptions, financial data analysis, and program development.
Professional appearance and strong public speaking skills to support a strong business model of health care delivery to outside agencies and consumers.
Proven ability to orient new hires and provide on-going training and staff updates.
TYPICAL PHYSICAL DEMANDS AND WORKING CONDITIONS
Frequent mobility and/or sitting required for extended periods of time. Data entry and phone usage for prolonged periods of time. Requires occasional lifting to 50 pounds of boxes or office supplies. Requires manual dexterity to operate keyboard and other office equipment. Requires corrected vision and hearing to normal range. High stress position due to work deadlines, supervision of occasionally challenging employees, and upset patients.
Requires some overtime to complete the daily schedule of a medical environment and occasional weekend commitment as the need may arise based on HRSA reporting requirements.
