Job description

POSITION SUMMARY: The Practice Manager will provide support, leadership and management of all Front Office Staff members to assure best practices and excellence in customer service. The Practice Manager oversees the daily operations of patient service representatives, phone operators and the patient assistance team.

ESSENTIAL FUNCTIONS AND RESPONSIBILITIES

1. Lead the daily operations and team within the front office groups (reception, phone operator, and patient assistance) in the KVHC health centers.

2. Coordinate the flow of information between front office team, billing, clinical and administrative departments.

3. Provide orientation and on-going training to front office team (duties, policies, protocols, etc.)

4. Monitor daily schedules and conduct outreach as needed to fill open appointments.

5. Actively participate in monthly quality meetings and carry out quality improvement inititatives.

6. Conduct monthly meetings, collaborate with other Practice Managers to assure standardization of best practices, policies, procedures and protocols.

7. Provide schedules and work plans for the front office team.
8. Develop electronic reports and processes for all manual systems.
9. Develop on-going training agendas and schedules for employee development.
10. Works as part of the Patient Care Team to insure effective, quality care is given to all KVHC patients.

11. Provide continuous training to employees to ensure best practices and quality customer service.

12. Develop electronic systems and reports for patient tracking. These reports should include scheduling, outreach, next available appointments and no-show management.

13. Review and revise policies and protocols as needed for daily operations.
14. Create and monitor reports related to Patient Centered Medical Home and accreditation as needed.

15. Performs additional duties or projects as assigned by Chief Operations Officer.

16. Adheres to all KVHC policies and protocols.

17. Complies with all safety rules and protocols. Reports all incidents, regardless of severity, immediately to their supervisor and completes an incident report and investigation form, which will be forwarded to Human Resources within 24 hours of the incident.

18. Conducts themselves as a good steward in the communities served by KVHC; represents the organization at outreach activities as needed.

19. Actively participates as committee member as assigned by the Chief Executive Officer.

20. This manager may also cover the Lincoln office when needed.
