GENERAL DESCRIPTION / PRIMARY PURPOSE:
- The Payroll Coordinator is responsible for timely and accurate processing of payroll, which includes entry and verification of payroll data and maintenance of internal controls and audit trails for hourly and union employees. This role will serve as a point of contact for payroll and time and attendance inquiries for assigned groups.
MAJOR RESPONSIBILITIES AND TASKS/DUTIES OF THE POSITION:
- Serves as primary point of contact for payroll related inquiries and research requests from employees,
- Responsible for collecting, reviewing, balancing, and processing the payroll data and documentation for hourly employees, including those covered under a Bargaining Unit.
- Prepares and inputs payroll data (terminations, benefits withholding, overtime, etc.) for transmission; ensures payroll transactions are processed accurately and timely.
- Reconciles payrolls prior to transmission and validates confirmed reports.
- Audits payroll processing reports for errors as well as being responsible for auditing work of co-workers.
- Executes time and attendance processing and audits timekeeping reports.
- Prints and prepares checks for distribution, ensures payment delivery in a timely manner in accordance with Dole policy, and processes manual checks as required.
- Maintains effective records management system to organize and file payroll audit reports and employee payroll files.
- Coordinates the standardization of time and labor procedures and maintains SOP documentation.
- Helps prepare and process Union Dues, and Positive pay files.
- Coordinates all time and labor functions for commodities companies which include code maintenance, vendor liaison and training when needed.
- Assists in training new foremen and other staff on the policies, procedures, and requirements of the Payroll Department.
- Maintains confidentiality of Personal Identifiable Information (PII) and other personal information.
- Other duties as assigned.
Required Skills
JOB SPECIFIC COMPETENCIES:
- 2-3 years payroll experience; experience with seasonal staffing.
- Experience working in a payroll environment with strong internal controls and discipline.
- Knowledge of Federal and State wage and hour laws.
- Strong intermediate skills in Microsoft Excel and Word; strong computer skills and understanding of operating systems is required.
- Knowledge of ADP/EV6, Timesheet software is a plus.
- Strong analytical and communication skills.
- Bilingual/biliterate Spanish and English required.
- Excellent customer service skills.
- Sound judgment in decision making and problem solving as well as ability to adhere to the policies of the Payroll Department.
- Must have the ability to make decisions, appear for work on time, follow directions, interact well with co-workers, understand, and follow posted work rules/procedures and to accept constructive criticism. Ability to work in a fast-paced work environment, be detail oriented and able to work with limited supervision.
PHYSICAL REQUIREMENTS:
- While performing the duties of this job, the employee is regularly required to sit, use hands and fingers, handle or feel objects, tools, or controls, talk, or hear to communicate, as well as maneuver around an array of equipment, bend, stoop and climb stairs. The employee must occasionally lift (including overhead) and/or up to 15 lbs.
WORK HOUR & TRAVEL REQUIREMENTS:
- Ability to work beyond regular business hours.
Required Experience
EXPERIENCE & EDUCATION:
- High School Diploma required, AA degree or higher preferred.
PAY RATE:
- $26.44 - $27.88 Hourly
