- Payroll: Administers full cycle payroll and payroll-related processes in a timely and accurate manner. This includes but is not limited to reviewing timecards, preparing gratuities, processing garnishments, auditing accruals, applying additional earnings or deductions, processing paid time off requests, preparing, and reconciling manual checks, processing personnel action forms, and preparing labor reports for the Finance + Accounting team. Analyzes payroll labor data on a bi-weekly basis to identify and communicate anomalies, trends, and patterns. Administers end of year reporting and tax compliance and documentation (e.g. W2s, ACA 1095s, etc.).
- HRIS: Administers the structure, features, and effectiveness of the HRIS. Serves as liaison with HRIS provider, Paycom. Ensures optimization of HRIS system (Paycom) including accurate, consistent, and complete data and records and effective reporting, tools, and metrics. In partnership with the Director of People + Culture (DoPC), identifies and implements HRIS features to improve efficiency and effectiveness of People systems and tools. Creates automations to reduce repetitive work. Communicates features, changes, and tips to improve effectiveness and efficiency for all types of users. Provides regular training tools and support. Conducts a per pay period, quarterly and annual audit to ensure accuracy and compliance. Maintains and optimizes the Scheduler feature for all businesses. Maintains data accuracy and consistency with related benefit and technology tools (e.g. emergency communication system, POS system, benefit accounts, etc.).
- On-Boarding + Off-Boarding Processes: Ensures new hires are accurately and timely set up in HRIS system to receive pay, benefits, and access to Paycom scheduler and tools. Ensures departing staff are accurately and timely processed and paid in accordance with Bi-Rite’s policies.
- Benefits Administration: Administers eligibility, monthly enrollment, updates, and terminations. Serves as COBRA administrator with third party vendor including set up, documentation, and timely communication to eligible staff. Reconciles monthly benefit bills to match with enrollment; addresses errors or issues in collaboration with Finance + Accounting. Responsible for supporting annual open enrollment process including participation in the planning, set up, documentation and on-site meetings. Triages support to staff related to benefit issues in partnership with third party insurance broker.
- Metrics: Responsible for maintaining and reporting on People + Culture data and analytics including identifying and communicating patterns and trends. Prepares weekly employee changes communication for management.
- Compliance: Ensures consistent and objective compliance with Bi-Rite’s Staff Guide, policies and procedures, city, state, and federal laws. Protects staff confidentiality and privacy. Conducts a per pay period, quarterly and annual audit to ensure accuracy and compliance. Prepares annual worker’s compensation audit reports. Keeps track, prepares, and timely submits annual reports to different government agencies: ACA, HCSO, EEO, DOL, BLS, OSHA, CDTFA, CRD, etc.
- Training: Ensures managers, supervisors and staff know how to use and optimize Paycom for time and attendance, PTO requests, benefits administration, personal information updates and PAFs. Communicates upgrades to the system via email or in person orientations.
- Personnel Records: Maintains secure, accurate and complete personnel records and files; coordinates employment verifications; completes CA EDD unemployment, disability and paid family leave requests and similar requests of other government agencies. Produces reports on staff data/information, as needed (e.g. monthly birthday and anniversary reports and posters).
- Supports special projects and events including staff appreciation events, field trips, open enrollment, staff surveys and staff programing or campaigns, as needed.

- 3+ years’ experience administering payroll or similar accounting/financial function
- Proficiency with a HRIS system; Paycom experience strongly preferred
- Strong knowledge of Microsoft Office; Intermediate Excel skills required (e.g. vlookups, Pivot Tables, formulas, etc.)
- Demonstrated ability to maintain HR, benefit, payroll and labor information, data sets, analysis, compliance and reporting

- College degree or equivalent experience
- Bilingual English/Spanish preferred but not required
