Job Description:

The Payroll & Benefits Administrator completes administrative tasks to support personnel and Executives. Responsibilities include direct responsibility for payroll and employee benefits and other duties as assigned.

Responsibilities:

Main Job Tasks and Responsibilities

  • Liaises with internal staff at all levels, working productively with the Director of Operations (DOO) on a daily basis
  • Manages the 401K benefit program
  • Collaborates with the DOO and Company Insurance Broker to analyze, and implement the annual medical/dental benefits renewal
  • Manages all benefits available to Company employees including but not limited to medical/dental benefits plan, optional coverages and COBRA.
  • Completes biweekly payroll processing, reporting and audits as needed.
  • Manages the 3 party unemployment claims processor.
  • Completes biweekly expense processing and reporting; disseminates spending reports and collects receipts for all monthly business expenses.
  • Assists the Regional Directors in managing payroll and benefits related responsibilities
  • Completes components of offboarding related to payroll and benefits
  • Completes internal audits as needed (e.g. payroll, employee benefits, expense reimbursement) support as directed
  • Completes personnel file audit annually and as needed
  • Maintains client and patient confidence and protect operations by keeping information confidential
  • Acts as the HIPAA Privacy Officer and completes all related duties
  • Administers Board Certified Behavior Analyst (BCBA) benefits program and Registered Behavior Technician (RBT) benefits program.
  • FastTrak- Audit invoice, mailing, and maintain device inventory spreadsheet
  • Maintains a Bonus Productivity Spreadsheet
  • Generates a monthly Anniversary List to send to RDs and PCs
  • Completes employee verification requests as needed
  • Manages EEO- reporting as needed
  • Files and retrieves documents and reference materials for all employees
  • Performs other tasks and projects that may be assigned from time to time by a supervisor that are in keeping with general HR duties

Qualifications:

  • Minimum of 2 years of experience implementing payroll and employee benefits
  • Bachelor’s degree preferred
  • Must be fluent in HIPAA regulations and understand privacy and confidentiality requirements
  • Proficient computer skills and in-depth knowledge of relevant software such as MS Office Suite (i.e. Word, Excel, FileMaker Pro)
  • Knowledge of standard office administrative practices and procedures
  • Must have excellent social skills conversing with the public, clients, and interacting with co-workers
  • Must be willing to work well with a team of professional clinicians
  • Must be able to bend, to stoop, and pick up to 10 lbs. at one time

Additional Requirements:

  • Must be insurable by the Company insurance as demonstrated by a current Motor Vehicle Report, have a current valid California driver’s license and valid car insurance in effect in the individual’s name. These records may be subject to review by insurance representatives since the individual drives for the company on a daily basis.
  • Must submit fingerprints to the Department of Justice and FBI, to demonstrate clearance for work with children in public school settings/government contracts.
  • Is familiar with and performs duties following HIPAA regulations.
  • Performs duties following all laws and regulations regarding rights and practices in areas of equal opportunity, hiring, discrimination, and harassment. Training and certification will be required and assigned as needed.
  • Completes annual health and safety trainings and adheres to all policies and procedures, including safety policies and procedures.
  • Must be available to respond to and address personnel and other matters as they arise from time to time in the Region or as otherwise assigned.
  • Maintains good attendance records and punctuality.

Job Type: Full-time

Pay: $30.00 - $35.00 per hour

Expected hours: 40 per week
