SUMMARY:
We are seeking a dedicated and experienced Payroll and Benefits Specialist to become a part of our Human Resources team for our privately held company of nearly 800 employees. The Payroll and Benefits Specialist will be responsible for overseeing all aspects of payroll processing and Benefits administration, ensuring accuracy, compliance, and efficiency. This role requires a detail-oriented individual with strong analytical skills, a deep understanding of Payroll and Benefits regulations, and the ability to communicate with employees regarding compensation and Benefits matters effectively.
ESSENTIAL DUTIES & RESPONSIBILITIES:Payroll Management:
  • Manage the end-to-end payroll process, including data entry, timekeeping, calculations, and distribution of paychecks.
  • Ensure accurate and timely processing of payroll for all employees in compliance with federal, state, and local tax laws.
  • Manage multi-state payroll, including the states of Texas, New York, California, Illinois, and Florida.
  • Reconcile payroll data and resolve any discrepancies.
  • Prepare and distribute payroll reports to management as needed.
  • Oversee the maintenance and accuracy of employee payroll records.
  • Handle payroll-related inquiries from employees and resolve any issues promptly.
  • Working knowledge of basic accounting principles & practices.
  • Year-end process, including reporting and W2’s

Benefits Administration:
  • Administer employee benefits programs such as medical, dental, vision plans, life insurance plans, temporary disability programs, FSA, etc.
  • Assist employees with benefit inquiries and help them navigate through the enrollment process.
  • Conduct regular benefits audits to verify accuracy and compliance.
  • Manage reports for ACA Reporting/1095c
  • Retirement plan administration, including enrollment, reporting, and annual audit and plan testing

HRIS Management:
  • Manage the HRIS system, ensuring data accuracy, process efficiency, and report generation.
  • Partner with Learning and Development on HRIS training initiatives for HR and other staff as needed.
  • Knowledge of API, EDI, SFTP data transfers
  • Prepare reports by collecting, analyzing, and summarizing data.
  • Data integrity across multiple platforms

Compliance and Reporting:
  • Ensure compliance with federal, state, and local legal requirements by staying updated on existing and new legislation, enforcing adherence to requirements, and advising management on needed actions.
  • Partner with Accounting and Finance to provide necessary reports and audit support
  • Processes IRS & court orders, child support garnishments, & student loan garnishments
  • Processes new hire, termination, & benefit paperwork for all employees

EDUCATION & EXPERIENCE:
  • Minimum of 3 years of experience in Payroll and Benefits administration, with a particular focus on multi-state payroll management.
  • Proficiency with HRIS platforms like Paylocity, ADP, or similar is required.
  • Bachelor's degree in Human Resources, Business Administration, or related field preferred.
  • Certified Payroll Professional (CPP) or Certified Benefits Professional (CBP) designation is an advantage.
  • Strong knowledge of federal and state regulations related to Payroll and Benefits.
  • Exceptional organizational skills with attention to detail.
  • Strong communication and interpersonal skills.
  • Ability to handle sensitive information with discretion and maintain confidentiality.

WORK ENVIRONMENT:
Individuals must be able to work independently in a fast-paced environment. This position may require overnight travel based on business needs.
