Position Summary:
The Payroll and Benefits Specialist administers the activities relating to the company payroll, reporting and benefits. Responsible for timely and accurate payroll data to include the complete processing of the timekeeping and payroll systems for multiple facilities across different states. Responsible for Health & Retirement Benefits which includes auditing/approving monthly invoices for all vendors. Data entry and system updates in UKG, as well as executing outbound vendor interfaces and funding.
Essential Functions and Responsibilities:
  • Demonstrate a commitment to the company mission, vision, and values.

  • Process bi-weekly payroll across the company and ensure all payroll transactions are handled in a timely and accurate manner. Processing special payroll such as Bonuses.
  • Administer employee benefits programs, including health insurance, retirement plans, and other employee welfare initiatives. Educate employees on available benefits and assist with any inquiries related to benefits enrollment.

  • Make strategic recommendations regarding payroll and efficient uses of the HRIS.
  • Process payroll changes, ensuring proper approvals are processed are followed.
  • Able to provide various reports as requested by Finance, and other departments.

  • Maintain and update employee information (status, pay rate, address, bank accounts, deductions, etc.)
  • Ensure timely and accurate processing of payroll transactions including timecard accuracy validation, garnishments, taxes, and other deductions.
  • Ensures accurate and timely processing of payroll instant checks for CA terminations, and other payroll corrections such as retro payments are processed timely and accurately.
  • Implements, maintains, and reviews payroll processing systems to ensure timely and accurate processing of payroll transactions including timecard accuracy validation, garnishments, taxes, and other deductions.
  • Prepares and maintains accurate records and reports of payroll transactions.
  • Processes any funding approvals for benefits such as 401k, etc.
  • Operates in full compliance with federal, state, and local payroll, wage, and hour laws and best practices.
  • Fulfills requests for routine and ad hoc reports when requested.
  • Facilitates audits by providing records and documentation to auditors.
  • Provide relevant management reports including weekly, monthly, quarterly, and year-end reports (gross payroll, hours worked, vacation accrual, tax deductions, benefit deductions, etc.).
  • Support all internal and external audits related to payroll and benefits.

  • Resolves discrepancies with benefits carriers and payroll.

  • Maintain and update PTO plans, 401k annual contribution limits, HSA account limits, etc.

  • Prepare wage statements for Workers Comp.
  • Completes Verification of Employment requests and maintains filing system related to payroll and benefits.
  • Perform other duties, as assigned.

Qualifications:
  • BA/BS in HR or Finance or related field preferred; possesses a solid financial acumen.

  • Minimum of 5 years' experience processing payroll in a multi-state environment.
  • Minimum of 3 years' experience of benefits administration with US companies.
  • Minimum of 2 years' experience working with HRIS software, specifically, UltiPro and Kronos.
  • In-depth knowledge of payroll processes, employee benefits administration, and state-specific employment regulations.
  • Previous experience in a customer service position preferred.
  • Compliance with federal, state and local legal requirements; able to make recommended measures to comply with payroll law.
  • Strong ability and proficiency with Excel, Word and Powerpoint.
  • Must be able to understand, speak, read, and write in English in order to support employees and perform the essential functions of the job including providing documents, and other internal and external communications. Bilingual in Spanish is a plus.
  • Must demonstrate a consistent ability to respectfully communicate and address conflict professionally, collaborate, and maintain confidentiality.
  • Must be familiar with and abide by cGMP's.
  • Must possess the ability to develop and maintain a teamwork environment, while keeping a positive attitude, collaborate and present self and others professionally.
  • Occasionally must be willing to process payroll, be on-call and/or accept phone calls during off-hours and/or work weekends, evenings, and holidays as needed.
  • Excellent communication skills - verbal and written.
  • Exceptional organizational and time-management skills; ability to work independently with little supervision required.

  • Must be trustworthy, ethical, and maintain high confidentiality related to sensitive company and employee information.
  • SHRM or HRCI certification is a plus.
  • Ability to perform all tasks defined above either with or without accommodation.

Work Conditions:
  1. Often subject to normal warehouse and production environment.
  2. Occasionally subject to atmospheric conditions, such as fumes from the machines, fumes, odors, powders, dust and other particles.
