Staffing Network/QPA is seeking a Payroll/Benefits Specialist to add to a growing HR team in Addison, IL for a direct hire opportunity!

**Experience with ADP Workforce Now is a must**

Position Summary:

The Payroll/Benefits Specialist performs complex duties in the areas of benefits and payroll administration. As the Benefits Specialist, this person follows pre-established policies and procedures to maintain benefit-related records, process benefit plan enrollment, and respond to employee inquiries. In performing the duties of the Payroll Specialist, this individual is highly proficient in administering all areas of payroll processing, ensures compliance with all lawful policies and practices, and is the primary administrator for the timekeeping system. The Payroll and Benefits Specialist provides excellent customer service to both internal and external customers and demonstrates a strict level of confidentiality with all employees while serving as an ambassador of our culture.

Payroll Specialist Duties:

  • Maintain the set-up and parameters of all platforms in ADP Workforce Now, update as needed, partner with ADP Workforce Now Support to customize each element of the program to reflect the current needs of Porter Family Companies.

  • Initiate and maintain all data in ADP Workforce Now, beginning with the hiring process, including set-up of new hires in Human Resources, timekeeping and time off, benefits administration and payroll system.

  • Monitor and audit the accumulation of timecard data prior to processing export to payroll, contacting appropriate manager to resolve any discrepancies.

  • Initiate and maintain the entry of benefit enrollments for each eligible employee.

  • Input all employee changes properly effective-dated on the appropriate payroll cycle including changes to title, pay rate, status, department, taxation, deductions, and court-ordered wage garnishment.

  • Input documented, authorized additional pay on the appropriate payroll cycle including incentive pay, retro pay, and bonuses.

  • Process terminations in ADP Workforce Now, document final pay and deduction details for review by VP of Talent, Team, and Culture, and ending all benefits according to policy, then referring termination of insured employees to Cobra administrator for further processing.

  • Maintain accurate, complete audit trail for all payroll transactions by pay cycle.

  • Prepare weekly payroll for Illinois, Indiana, and Wisconsin based employees.

  • Carefully review and audit details of the payroll preview for each pay date, then process payroll on ADP Workforce Now.

  • Review resulting payroll cycle reports for the purpose of preparing bookkeeping spreadsheet and funding documentation for each payroll cycle, presenting balanced spreadsheet for review and approval by CFO as basis for posting journal entries to the general ledger.

  • Promptly provide documentation to VP of Talent, Team, and Culture to allow review of payroll changes each cycle to ensure accuracy.

  • Monitor all federal and state tax payments to ensure accurate timely payment by ADP Tax Services.

  • Prepare accurate spreadsheet of all 401k deferrals and 401k employer match calculations to upload to 401k vendor timely each cycle.

  • Respond to employee inquiries regarding payroll, procedures, and Benefits.

  • Assist with audit requests as needed, including audits of payroll, 401k, and workers compensation.

  • Calculate PTO accruals on an annual basis.

Benefits Specialist Duties: (will train)

  • Maintain set-up and parameters of benefit plans in ADP Workforce Now, updating as needed, typically at the beginning of each calendar year and at open enrollment, partnering with ADP Workforce Now Support to customize each element of the program to reflect the current benefit plans.

  • Benefit plans include medical, dental, vision, term life, optional life, short-term disability, long-term disability, and 401k.

  • Communicate with newly eligible employees, providing all details needed to review available benefits and make new benefit decisions by enrollment deadline.

  • Answer employee inquiries at initial enrollment and throughout the year about benefits plans.

  • Promptly and accurately enroll employees for benefits elected via the appropriate secure website, maintain evidence of employee’s decision to enroll or waive when appropriate.

  • Maintain employee benefit records on ADP Workforce Now and documents on personnel file when needed.

  • Audit benefit invoices to ensure accuracy of billing and accuracy of deduction to employee’s payroll.

  • Work closely with VP of Talent, Team, and Culture, brokers, and Benefits vendors each open enrollment to document benefit changes in structure and cost and update ADP Workforce Now with new details before presenting new enrollment choices to eligible employees.

  • Maintain an understanding of the United States benefits legislation (Affordable Care Act) and monitor the accumulation of accurate information on ADP Workforce Now to properly document eligible employees’ access to healthcare benefits each year-end by required Forms 1094 and 1095-C.

Required Education, Skills, and Abilities:

  • High school diploma or equivalent, some college coursework a plus.

  • Minimum of five (5) years of experience in Payroll and group benefits administration.

  • Proficient with ADP Workforce Now, including the payroll, time and attendance, human resources, and Benefits modules.

  • Strong knowledge regarding Payroll and tax laws.

  • Experience performing online enrollment and maintenance for a variety of online benefit systems.

  • Proficient with Microsoft Office products, primarily Excel, Outlook, and Word.

  • Basic knowledge of United States benefits legislation (Affordable Care Act).
