POSITION TITLE: Sr. Payroll Specialist
LOCATION: Louisville, KY
STATUS: Full Time, Salaried, Exempt
PROGRAM: Human Resources
REPORTS TO: Sr. Human Resources Manager

JOB SUMMARY AND QUALIFICATIONS:
Performs all activities necessary to process payroll, including maintaining related records, processing involuntary deductions such as levies and garnishments, documenting and updating procedures, and preparing special reports for management. Provides excellent customer service, accumulates all time, and pay information for accurate payroll processing.
WHAT YOU SHOULD HAVE FOR THIS ROLE:
Must have experience with payroll, preferably Paycor, onboarding, and statutory leaves, including worker’s compensation. Ability to manage sensitive and confidential situations with tact, professionalism, and diplomacy. Excellent organizational skills and attention to detail. The ability to communicate clearly to a diverse workforce is essential, with exceptional customer service a high priority.
RESPONSIBILITIES:
• Process weekly payroll for all employees by using timesheets, leave requests, hourly wage rates, and other possible adjustments.
• Maintains updated procedure manual for payroll processing and assists in training of other staff on the payroll system (Paycor) in a “super-user” role, to troubleshoot general user questions or basic technical issues.
• Keeps abreast of current payroll tax requirements and relevant laws associated with the processing of employee wage data, including payroll taxes, employee federal and state income and social security taxes, and other required reporting (workers compensation, deferred benefits, etc.)
• Processes fiscal year-end reports and reconciles W-2 information for accuracy. Documents any discrepancies in payroll processing to maintain a clear record of reconciliation and adjustments.
• Works with the Benefits Administrator and leadership to coordinate employee leaves of absence under FMLA, workers compensation, or other unpaid leaves.
• Processes wage garnishments, pay levies, and other involuntary court-ordered payments in a timely manner, including reporting to the necessary State office or jurisdiction and assisting employees with general process questions.
• Process all personnel actions and status changes such as promotions, transfers, salary changes, and terminations on a timely and accurate basis.
• Completes payroll verification requests for current and former employees in a timely manner.
• Works with Paycor for technical issues with time-reporting systems.
• Assists staff with general questions related to payroll, leave accruals, wage deductions, fringe benefits, and other pay related issues.
• Attends workshops, online training, and seminars to gain greater systems knowledge (Paycor). Provides updated protocols and procedures to system users based on training.
• Conducts regular payroll reporting as required and assists with financial audits related to pay records.
• Completes onboarding of new hires in Paycor with all necessary forms, including direct deposit, wage verification, W-4 forms, correct FSLA designation, and salary.
• Performs filing and upkeep of employee payroll records.
• Maintains accurate and up-to-date human resource files, records, and documentation.
• Maintains and protects the confidentiality of all Human Resources and personnel records and information.
• Performance Quality Improvement (PQI) duties as assigned by supervision & PQI Committee.
• Performs other duties and tasks on an as-needed basis as assigned.
