JOB SUMMARY:
The Staff Accountant will work closely with the Chief Financial Officer to facilitate and apply Generally Accepted Accounting Principles (GAAP). The responsibility of this position is managing specialized work efficiently, with confidence and competence. The position requires high attention to details, concern for the correctness of work, and strong commitment to tasks completed on time. The person in this position will take work seriously, has a strong sense of duty, and is disciplined. A faster-than-average pace will be the norm for this position. Detailed, specialized work is the major focus. The person in this position will require clearly defined work, responsibilities, and reporting relationships, ongoing and thorough training opportunities to develop expertise and increase confidence. The position will provide security in a stable work environment, allowing the person to plan for, focus on and complete tasks on hand.
ESSENTIAL FUNCTIONS:
- Communicates regularly with other payroll/accounting/HR staff regarding payroll matters.
- Knowledge and experience in multi-state payroll tax matters.
- Knowledge and experience in working with multiple union payrolls.
- Processes payroll on a bi-weekly/ weekly basis for multiple pay groups across multiple states.
- Manage communications with employees on timesheet approvals
- Deliver instruction/training to employees regarding the use of payroll-related systems including entry of timesheets, online access of pay statements, etc.
Assist with monthly close processes including preparation of monthly journal entries and analyses for state tax filings and compliance - Filing monthly state sales/use tax returns and maintain business licenses.
- Back-up Support for Accounts Receivable: apply cash receipt, help with collection of past due balance, and process daily invoices/credit
- Back up Accounts Payable: vendor invoices and disbursement filing, A/P invoice matching & filing.
- Reconcile payroll discrepancies by checking source materials, reconstructing probable actions, and recognizing the effect on other accounts; prepare corrective actions as needed.
- Participate in month-end close activities, including preparation of journal entries, reconciliation of accounts, and sales tax computations
- Posting monthly payroll journal entries
- Perform routine clerical accounting duties within a fast-paced finance department while adhering to established standards
- Prepare and interpret financial summaries and provide reports to managers on a daily/weekly/monthly basis
- Financial reporting, preparing supporting schedules, and analyzing data.

WORK SCHEDULE: This position offers a flexible work schedule. General office hours are M-F, 7a-4p or 8a-5p

EDUCATION, EXPERIENCE AND QUALIFICATIONS:
- BS/BA in Accounting or related field preferred
- 2+ years of relevant experience
- Experience with Paylocity, QuickBooks, Smartsheet, Microsoft Excel, Outlook a plus
- Experience in Construction and/or Multi-Company environment a plus
- Knowledge of State Registrations a plus
- Comprehensive knowledge of Full Cycle Payroll
- Previous payroll experience a plus
- Be able to prioritize workload and perform in a fast-paced and challenging environment
- Spreadsheet and ERP system experience preferred
- Knowledge of US GAAP, and experience with the preparation and presentation of financial statements under guidelines established by US GAAP
