POSITION SUMMARY / ESSENTIAL FUNCTIONS
The Payroll Accountant is responsible for overall processing and maintaining of the ship's payroll records and salary wages. Serves as the Onboard OceanPay representative responsible for program implementation and maintenance.
- Promptly hire all crewmembers signing on in the onboard payroll.
- Verify salaries and ensure contracts are signed and correct.
- Calculate and pro-rate salary and status changes.
- Process signing off crewmembers throughout the month in the payroll system.
- Maintain Service Charge payroll distribution spreadsheet with all sign on/off and status change information.
- Process Allotments for all Filipinos hired under the Blue and Red CBA's.
- Enter all additional earnings based on authorized documentation, such as Gratuities and Overtime.
- Balance payroll to back up paperwork submitted by Department Heads, as applicable.
- Update Banking Details for shore side Payroll Department.
- Create Journal File at month end, documenting charges to the correct accounts.
- Coordinate onboard deadlines for Department Heads to ensure that all information is processed on time to meet Accounting deadlines.
- Collect onboard account payments from all signing off crew, and ensure open balance is zero and all postings are closed.
- Update payroll system as instructed and provide feedback to Accounting shore side.
- Upon sign on, conduct full audit of all contracts and payroll. Conduct other audits on monthly and voyage basis as directed by policy and Chief Financial Accountant.
- Provide introduction to OceanPay process to all crewmembers upon sign on, as well as ongoing support throughout contract as needed. The introduction session must include showing the approved video, explaining the "how to's" of the process, assist in all banking setups, explain ATM usage and withdrawals, etc.
- Responsible for the OceanPay program, including all education, promotion and providing excellent customer service to the crew.
- Prepare and disseminate Duty Schedule for Financial Department to cover stay in port, after authorization by Chief Financial Accountant.
- Audit Guest Services and Financial Accountant floats on a regular basis (weekly or more frequent) and report findings to Chief Financial Accountant.
- Performs other department-related duties as assigned or as directed. The omission of specific duties does not preclude the supervisor from assigning duties that are logically related to the position.
- Must be familiar with the Safety and Environmental Protection Policy and the SEMS, and carry out the policies and procedures appropriate for his/her position.
- Minimum of three years of accounting experience preferred.
- Intermediate or Advanced Computer Skills: Microsoft Word & Excel, Fidelio, Fidelio Payroll System.
- Bachelor of Science degree in Accounting (or other equivalent certification).
- Relevant shipboard experience and a minimum of 3 years of accounting experience may substitute at an equivalent rate.
