The Patient Coordinator is an ambassador of the practice to the outside world, in the truest sense of the word. They are the first and last point of contact for every appointment for every patient, and so this position is responsible for setting the patient’s appointment up for success. They work closely with the practice manager, and are the primary contact for patients, their families, and the Dentists, as well as the Spoonwood administration team. They will greet, instruct, direct and schedule patients and visitors. The Patient Coordinator is a critical element that is the eyes and ears of the organization. They set the tone for the patient, their appointment and the practice, and will need to communicate well with all levels of the organization as needed.
Major Duties & Responsibilities:
- Assistant ambassador of first impressions
- Open mail if needed
- Retrieves insurance and patient information
- Enters new and established patient information into the computer
- Answers incoming calls, sets appointments for patients, dispatches messages and/or calls appropriately.
- Complete confirmation calls and make sure that all account balance info, remainder of insurance coverage info, and the specific amount that will be due at the end of this next appointment are covered and reviewed. This will need to be documented and initialed within the Practice Management Software. It will also need to be covered upon the patient arriving at the practice for their appointment.
- Completes pre-authorization
- Schedule patient treatment appointments; reschedule patients that miss their appointment and call patients that have not completed treatment.
- Handle all treatment paperwork including consent forms, policy forms and exit paperwork.
- Maintain the schedule at the target fill rate on a weekly and monthly basis
- Check patients in and out and schedule the next appointment.
- Collection of payments on the day of treatment except where explicitly noted and arranged otherwise. Any payment arrangements should be made and agreed upon before the day of the treatment. There is a standard list of payment arrangements that will be provided, and anything outside that list will need to be approved by the Financial Coordinator in writing by email.
- Answers questions on insurance claims and makes sure that all insurance claims are filed the day of service, with the right provider
- Answer and return incoming calls from patients.
- Scan accounts payable to Financial Coordinator, as needed
- Prepare Monthly Statements or Reports, as needed
- Process end of day
- Perform secretarial duties using specific knowledge of dental/medical terminology and hospital, clinic, or laboratory procedures. Duties include scheduling appointments, billing patients, and compiling and recording medical charts, reports, and correspondence.
- Follow and demonstrate commitment to Raynor Dental policies, professional expectations and Protocols.
Qualifications:
Previous experience in the dental field preferred, though on-the-job training is provided. Some knowledge of dental and medical terminology is necessary to be able to answer any questions that the patient might have. Must be able to adapt to any type of situation, think quickly on their feet, and treat each patient as a valued client and ensure that they are cared for in a quick and efficient manner. They must also be comfortable working in a fast-paced environment. Motivating team player. Strong computer and analytical skills. HS or GED education and/or higher.

Pay: $18.00 - $22.00 per hour
