The primary site of inpatient care services is at the University of Toledo Medical Center, but many of our physicians’ practice at hospitals and medical offices throughout the region.

The Patient Access Specialist performs all scheduling, registration, insurance verifications, intake, and follow up for all patients with the telemedicine center and 24/7 access center. This position requires a strong attention to detail, superior customer service, and understanding of how to efficiently use EMR.

ESSENTIAL JOB FUNCTIONS AND ACCOUNTABILITIES

  • Delivers superior customer service adhering to UTP’s core values and customer service standards.
  • Keeps current with trends and developments related to essential job competencies and demonstrates continued growth.
  • Answers high volume of calls while multi-tasking with available resources to assist callers with their specific needs. Gateway to appointment scheduling for UTP and UTMC outpatient clinics
  • Efficiently communicates callers request and determines the best solution. Listens to and re-emphasizes caller concerns, ensuring accurate triages and effective communications.
  • Able to preregister patients as required; obtains patient demographics and insurance information and updates as required to ensure most accurate information is on file
  • Works with Outpatient clinics to quickly identify and resolve urgent patient issues.
  • Facilitates physician consultation requests and assists with patient referrals when appropriate.
  • Is knowledgeable and proficient in the use of Athena, EPIC, and other software applications used to store and manage patient information and facilitate patient care.
  • Is knowledgeable of the entire institution, all clinical departments and resources, Locations, contact information, Scheduling guidelines, Personnel resources, Area specific guidelines, Age specific guidelines, Disease process specific guidelines and Basic guidelines related to consumer health plans.
  • Is knowledgeable and proficient in the scheduling process for all clinic areas. Understands the procedures for each clinic and educates the caller.
  • Perform and complete accurate patient scheduling, registration, insurance verification, triage, intake, electronic medical record order entry for medication, laboratory or radiology may be completed when/ if delegated by provider.
  • Work to provide patient information which maximizes reimbursement, achieves collection ratios, meet account receivable goals, requests any non-covered patient collectibles, and provides timely and through information to all providers and users of patient data.
  • Confidentiality and compliance with regulatory standards and applicable federal and state healthcare regulations
  • Updates procedure manual and creates and manages workflows.
  • Ability to cross train in other areas of practice in order to achieve smooth flow of all operations.
  • Good organizational and time management skills to effectively manage multiple priorities, time constraints, and ever-changing medical situations.
  • Ability to exercise sound judgement and problem-solving skills. Ability to serve as resource for staff, along with training staff.
  • Excellent communication skills in both written and verbal forms, including proper phone etiquette. Ability to present to groups of care team members.
  • Indirect work support (managing tasks, test tracking, gaps in care, annual wellness visits).
  • Ability to cross-train in other areas of practice.
  • Attends required meetings, training, and participates in committees as requested.
  • Ability to travel to other office/practice sites; meeting; and training locations.
  • Performs all other duties assigned.

REQUIRED QUALIFICATIONS

  • Education: High school diploma or equivalent required.

  • 1+ years of customer service or healthcare experience

PREFERRED QUALIFICATIONS

  • Education: Associates degree
  • Skills:
    1. Familiarity with Medical Terminology
    2. Insurance Verification
    3. Medical Billing
    4. Registration experience
  • Years of Experience: 3+ years of patient registration or Patient Access experience
