Overview
"Upon Award" - The Parts Expeditor provides expediting support to the Purchasing Section. Acts as coordinator between the buyers, vendors, freight forwarders and the customers, to insure that purchased equipment, materials, and supplies are delivered on time, in the correct quantity and to the correct destination. The period of performance for this position is not to exceed more than one year, may extend to fulfil mission requirements.

Responsibilities
MAJOR RESPONSIBILITIES:
- Responsible for daily follow up of all Purchase Orders to ensure scheduled delivery date are met.
- Responsible for notifying vendors of overages, shortages, damaged equipment etc., and for performing the necessary actions to ensure time delivery.
- Liaise with freight forwarders, customs, or clearing agents to ensure smooth and timely clearance of goods.
- Obtains vendor documentation of delivered equipment when required.
- Responsible for closing out the Purchase Orders and updating the open/closed Purchase Order Tracking List.
- Produces the bi-weekly status reports of open Purchase Orders to the projects.
- Performs minor direct purchases under the guidance of the Purchasing Supervisor during peak periods.
- Provides general administrative support within the Purchasing Department and performs additional duties as required.
WORKING ENVIRONMENT:
- The worker is subject to both environmental conditions. Activities occur inside and outside.
- May be required to work an uncommon tour of duty including nights, weekends, and holidays.
- Must comply with OSHA, EPA, Fire Regulations and published Company work rules.
- A normal work week is 40 hours (5 days a week).
- Must be willing to work additional hours when mission requires.
- The worker is required to have close visual acuity to perform an activity such as: preparing and analyzing data and figures; transcribing; viewing a computer terminal; extensive reading; visual inspection involving small defects, small parts, and/or operation of machines (including inspection); using measurement devices; and/or assembly or fabrication parts at distances close to the eyes.
PHYSICAL ACTIVITIES:
- Work requires standing, climbing, bending, and occasionally working in cramped and awkward positions.
- Employee stands for long periods.
- Frequently lifts equipment weighing 25 pounds. Occasionally assists lifting and carrying equipment weighing up to 75 pounds.
Qualifications
MINIMUM QUALIFICATIONS:
Education/Certifications: One year related experience may be substituted for one year of education, if degree is required.
- Minimum of a high school diploma required, with college or university level education preferred.
- Valid State Driver's License is required.
SECURITY CLEARANCE:
- Must be able to secure and maintain a Common Access Card (CAC), within six months of employment.
MATERIAL & EQUIPMENT DIRECTLY USED:
- Personal computer, printer, calculator, fax machine, copy machine and other general office equipment.
- Steel toe shoes are required. Personal Protective Equipment (PPE) is required in certain areas while work is being conducted. Such PPE includes, but is not limited to: face mask, head, foot, hand, vision and hearing protective devices.
SKILLS AND EXPERIENCE:
- Minimum three years in a general office environment, preferably in purchasing, procurement shipping/receiving, or expediting.
- Must have working knowledge of basic office procedures, purchasing policies and procedures, and basic software worksheet technologies.
- Knowledge of local import/export and customs procedures will be an advantage.
- Must have outstanding interpersonal skills, as well as excellent oral and written communication skills.
- Must be able to operate electronic devices to input hours worked on timecards and complete assigned company training.
