Work Schedule: Generally Monday through Friday 9:00 am to 2:00 pm, times may vary
POSITION SUMMARY:
Provides a variety of technical, analytical, and financial administrative support, ranging from routine to complex, for the Parks and Recreation Department. Processes accounts payable, daily deposits, reporting, data entry, and website management for Parks & Recreation. Work requires initiative, attention to detail, meticulous and accurate follow-through under general supervision; performs other duties as required or assigned.
ESSENTIAL FUNCTIONS:
  • Provides administrative support to key departmental personnel in relation to technical program requirements, prepares specialized reports as required, and performs technical financial report maintenance, such as preparation, planning, and implementation of expenditure reports, and invoices for the Department.
  • Provides effective professional liaison between divisions within the Department.
  • Prepares specialized analytical reports relating to a core function of a departmental operation for use in the evaluation of existing programs and initiatives.
  • Processes accounts payable and account receivables for assigned departments.
  • Prepares correspondences, reports, lists, and other documents as instructed and requested by designated office personnel.
  • Transcribes or prepares letters, minutes, reports, statements, grant applications, specifications, contracts, memoranda, notices, resolutions, budgets, financial and statistical tables, requisitions, and other related materials, including confidential correspondences and reports.
  • Gathers, assembles, updates, distributes, and/or files a variety of information, forms, records, and data as requested using traditional filing systems or databases as necessary.
  • Maintain the department's website.
  • Requisition supplies and materials for the Department as requested.
  • Maintain up-to-date knowledge of the Sportsman program and provide needed information and demonstrations concerning how to perform certain work tasks to new employees in the same or similar class of positions.
  • Manages departmental goal tracking
  • Organize and schedule meetings for department personnel.
  • Performs other duties as assigned.

ADDITIONAL FUNCTIONS:
  • Assures conformity to policy and promotes methods to increase effectiveness in the performance of departmental goals.
  • May perform other duties as assigned.

REQUIRED KNOWLEDGE, SKILLS & ABILITIES:
  • Substantial knowledge of modern office procedures, practices, and equipment including filing systems; bookkeeping; City codes, rules, policies, regulations, and procedures applicable to the position; computer applications including Excel, Word, Access, and other related software.
  • Detail-oriented to process financial transactions efficiently and accurately.
  • Skill in compiling basic and supporting data and in preparing accounting and financial statements.
  • Skill in using personal computers and MS Office Suite.
  • Skill in analyzing accounting systems and procedures.
  • Skill in preparing complex financial statements and reports.
  • Skill communicating verbally and in writing.
  • Ability to analyze accounting systems and procedures.
  • Ability to work as a member of a team to accomplish department goals.
  • Ability to make sound judgments and draw valid conclusions.
  • Ability to maintain effective working relationships.
  • Ability to train and provide guidance to others.
