Status: Part-Time; Non-Exempt (20 hours/week)
Location: Remote Worker in the United States
You will assist the Organizational Services Team with administrative tasks across multiple ongoing programming projects, including supporting the team in important research and planning efforts. This position is grant-funded through the ArtsHere program.
You Will:
- Develop an understanding of the Organizational Services programming;
- Be the primary support for the Organizational Services Division;
- Schedule essential meetings;
- Maintain all program-related calendars, update divisional timeline; and schedule travel for the division
- Organize, attend, and take notes for Organizational Services team meetings and program plan meetings;
- Help with logistics planning and travel preparation for the Organizational Services Team;
- Manage folders for program-related assets;
- Help with follow-up procedures with project consultants to ensure collection of all deliverables including invoices, consultant travel, and project reporting;
- Assist the team with tracking and reporting on division program activity including updating Salesforce, internal organizational reports and meetings, funding proposals, and board meetings;
- Help with necessary communications between the M-AAA team and participants of multiple programs;
- Assist the team with managing all web-based communication tools used in program delivery including Survey Monkey, webinars, and email;
- Update rosters of professionals;
- Assist the Program Development Specialist in the preparation, delivery, and receipt of all project participant's applications, contracts, and fees;
- Assist the Evaluation Specialist in multiple assessment and reporting procedures, such as data collection and validation, and editing reports.
You Have:
- Demonstrated sensitivity experience working with diverse groups of people.
- Identify problems and their resolutions.
- 2+ years of project management experience.
- Positive working relationships with other staff members and project partners.
- Experience in web-based applications
Working Conditions: The working conditions include desk/computer work and may require some travel to attend convenings relevant to multiple programming. Should be able to adapt to changing priorities and additional projects with short-term deadlines.
