OPERATIONS SUPPORT COORDINATOR - Sacramento, CA
Lewis Apartment Communitiesis actively seeking a qualified candidate for the full-time position ofOperations Support Coordinator. This role will be located at the Regional Office in Sacramento, CA. Reporting to the Senior Regional Director, you would directly support property management staff and the Senior Regional Director in our apartment community management group.Overall, you should be an inspiring, fair, and positive office professional, ready to take on a variety of daily and weekly administrative tasks, in a variety of categories:
Software and Programming:
o Utilize software programs (JDE, TM1, Commission Tracking, Bottomline, I Love Leasing, Integrify, etc.) for financial reporting, commission tracking, GL reports, etc.
o Oversee annual CEL Resident Satisfaction survey for California and Nevada.
o Manage invoice processing and address related issues.
Recruiting and Onboarding Support:
o Assist with recruiting workflow and onboarding processes for new hires.
o Update the open opportunities list, create laminated badges, and manage HR-related tasks.
o Enter/remove team members into community alarm panels and emergency call lists.
Direct Support to Directors and Teams:
o Generate and review reports (WRR, Traffic review, etc.) for accuracy.
o Monitor RPM calendar for timely report submissions.
o Communicate with department directors to ensure initiative completion.
o Handle various tasks such as vendor management, resident notifications, status updates, and expense reports.
o Review and process resident referrals, and draft flyers for resident notifications, office changes, etc.
o Assist with the ordering and distribution of marketing materials (key bags, move-in gift bags, community flags, etc.).
o Assist Lewis Events team as needed for company events (Lewis Leaders, Service Awards, etc., and maintain organization of the NorCal regional office (supplies, etc.).
o Provide assistance to properties as needed (resident inquiries, marketing audits, reports, etc.).
In addition to the above tasks, your position will require the management of additional items as needed.
Note: Travel between Sacramento area communities is required. Occasional air travel to Southern California may also be required. All mileage will be reimbursed.
To be successful, you should have 5+ years of administrative experience, along with highly proficient skills in MS Excel and MS Word.
