Job Description
We are seeking an Operations Supervisor to join our team! You will perform clerical and administrative functions in order to drive company success. We are looking for a resourceful, energetic, and self-driven person to grow with the company.
Responsibilities:
- Complete and submit equipment surveys for modernization, construction, and large quoted repairs.
- Work with vendors for accurate ordering and lead-times.
- Gather installation/alteration permit information.
- Attend customer meetings for modernization, construction, and repair projects. Assist in the communication between our office, the customer or their representatives, and our field staff. Complete the project communication sheet and review it with the mechanic onsite. The goal is smooth communication and allowing the onsite technicians to focus on the elevator installation.
- Support the field techs on their projects - such as making a parts or supply run, requesting a technical bulletin or manual from a manufacturing, tracking down a vendor contact, or acting as an intermediatory between the techs and onsite supervisor. The goal is to allow our techs to focus on the installation.
- Perform equipment audits.
- Assist in creating work by others lists for our projects. Communicate this recommended list to the customer. Keep our office, the customer, and project technicians in the loop.
- Assist as administrative support in the office as needed.
- Complete and provide feedback on tasks assigned by ownership.
- Learn and become familiar with various elevator equipment, terminology, and codes.
- Keep project binders up to date and organized.
- Keep electronic project folders up to date and organized.
- Prepare kickoff folders for the techs – permits, communication sheet, a copy of the scope of work, and when applicable pictures, schematics, manuals, etc.
- Get familiar with and help improve the daily, weekly, monthly, quarterly, and yearly processes at 5 Points Elevator.
- Attend and participate in monthly elevator training courses.
- Lead weekly safety meetings.
Qualifications:
- Previous experience in office administration or other related fields
- Ability to prioritize and close the loop on completed tasks
- Excellent written and verbal communication skills
- Problem solving skills
- Strong attention to detail
- Strong organizational skills
- Accurate note taking
- Familiar with basic hand and power tools
- Calendar management
- Experience and proficiency with Microsoft Office (Excel and Word)
- Experience with Dropbox program
- Experience with Service Fusion is a plus
- Associate degree in business or construction related field of study
- Previous experience in a trade service company is a plus (elevator, electrical, Plumbing, HVAC, etc.)
