The Operation's Manager position is an extension of the Management team which assists the Property Manager in the oversite of the day to day building operations and Association. The Operations Manager ensures the highest possible level of Customer service offered to residents, guests, and service providers as well as maintaining the safety of the property. The Operations Manager accurately maintains daily logs, records, and forms. They must be able to understand and react to emergency situations and operate security control systems. Operations Manager reports directly to the Property Manager.
POSITION RESPONSIBILITIES:
- Meet daily with the Property Manager and Building Engineer to go over daily tasks, reports and deadlines
- Assist the Property Manager, Administrative Assistant and Building Engineer as needed.
- Oversee Security operations
- Monitors and operates Security Control Systems and Emergency Response Systems.
- Monitors and controls access to the building.
- Write incident reports when needed, proof read all incident reports
- Monitors and controls access to the building.
- Assist with preparation of specifications needed for all services received by the Association (e.g., landscaping, trash, insurance, pool, etc.)
- Assist with bid process, coordinate / review bid spec proposals and comparison spreadsheet.
- Complete a bid analysis
- Follow up on all property incidents, provide notification to residents and track progress
- Assist all teams as needed and as directed by the Property Manager
- Demonstrates excellent customer service, communication, and time management skills.
- Attend after hours Board meetings or events from time to time, as needed or requested by manager
- Accurately maintains daily logs, records and forms.
- Works shifts that are subject to change based on property needs.
- Update the manager daily / weekly with a weekly report, a synopsis of week, and any incidents
- Assist all Unit Owners, Residents and Guests in a courteous, helpful manner, referring any questions or concerns directly to the Management Office that can not be addressed by Operations
- Ensure maintenance of all files, (work orders, incident reports, records, correspondence, etc.) in accordance with company procedures.
- Report to the Property Manager any problems as soon as possible, recording all irregularities on an Incident Report.
- Maintains a safe and secure environment throughout the building/property. Any safety issues must be brought to the attention of the Property Manager immediately.
- Follows safety procedures and maintains a safe work environment.
- Regularly walks the property checking all areas to ensure proper operation/safety and investigate/report any incidents that may occur during the course of the shift.
- Work on a building emergency management plan, hurricane and disaster plan
- Respond to any mechanical, medical or police emergencies and assist as needed in a timely manner.
- Supervise all moves, deliveries and check on the status of all unit owner construction, to ensure that all work is progressing smoothly and in accordance with property guidelines and regulations, reporting any damage to common areas immediately to the Property Manager.
- At the beginning and end of each shift, check the Fire Alarm Panel, ensuring that it is fully operational.
- May be assigned other duties by the on-site Property Manager

Pay: Up to $85,000.00 per year

Education:
- High school or equivalent (Preferred)
Experience:
- Customer service: 8 years (Preferred)
- Administrative Assistant: 4 years (Preferred)
