SUMMARY
Under the direction of the Senior Director of Event Operations, the Operations Coordinator – Reception at America First Field is responsible for the successful functioning of the facilities’ administrative needs including, but not limited to, welcoming and greeting visitors and fans, shipping and receiving of packages and mail, and supporting the pre-game/event needs of the operations staff.
Applicant must be available to work Monday - Friday from 10:00 am - 4:00 pm.
RESPONSIBILITIES INCLUDE:
- Serves as a point of contact for internal and external telephonic and in-person inquiries at the AFF reception area, greeting visitors and fans in a welcoming and professional manner. Will be involved in visitor and vendor check-in processes, in collaboration with stadium security.
- Resolve questions, requests, and problems promptly and courteously.
- Collaborate with internal departments to ensure successful game day and event outcomes, including but not limited to scheduling, set-up, vendor communication, etc.
- Main point of contact for shipping and receiving functions of America First Field via USPS, UPS, FedEx. Ensuring that packages received are accounted for and delivered to their destination in a timely manner.
- Main point of contact and host for other stadium vendors as assigned, such as portable restrooms company, large equipment rental companies, etc.
- Maintains an orderly and welcoming reception area by ensuring that packages are out of sight and the reception area is tidy.
- Participates in general stadium building management, including walkthroughs.
- Manages the stadium master calendar and communicates upcoming schedule to internal and external departments on a routine basis.
- Manages vehicle schedule (including golf carts, forklifts, trucks, etc.) and corresponding keys. Will collaborate with Grounds Crew supervisor for maintenance and cleanings as needed.
- Performs game day-related activities such as stocking drinks in suites, setting up equipment, unlocking/locking access points, and other operations needs as determined by supervisor.
- Assists Human Resources in preparation for events, distribution of items, or other actions as needed to support this department.
- Other duties as assigned.
MINIMUM QUALIFICATIONS:
- Applicant must be available to work Monday - Friday from 10:00 am - 4:00 pm.
- Proficient in using office productivity software, such as Microsoft Office Suite.
- Professional, friendly demeanor and attitude.
- Superior organizational skills and attention to detail.
- Excellent people skills including verbal and written communication.
- Excellent time management skills with a proven ability to meet deadlines.
- Must be able to work evenings and weekends to accommodate the teams’ schedule and events.
- Must be able to become forklift certified.
- Must successfully pass a background check.
PHYSICAL DEMANDS AND WORK ENVIRONMENT:
The job requires regularly lifting/pushing up to 15 pounds and occasionally lifting/pushing more than 25 pounds or exerting heavy force, in a wide disparity or environmental conditions. The job involves standing, stooping, bending, lifting, pushing, typing, etc.
