Events Operation Coordinator

• Work closely with event planners to understand the requirements and logistics of each event.
• Develop comprehensive operational plans outlining timelines, responsibilities, and key tasks.
• Coordinate with vendors, suppliers, and contractors to ensure timely delivery of goods and services.
• Arrange setup and breakdown of event spaces, including staging, seating, lighting, and audiovisual equipment.
• Oversee on-site logistics during events, including transportation, parking, security, and emergency procedures.
• Address any operational issues or concerns as they arise, ensuring minimal disruption to the event.

Vendor and Supplier Management:

• Communicate expectations and requirements to vendors, ensuring alignment with event objectives.

Staff Coordination and Training:

• Train, and supervise event staff, including volunteers, ushers, and support personnel.
• Assign roles and responsibilities to staff members based on their skills and experience.
• Conduct pre-event briefings to review operational plans, safety protocols, and emergency procedures.
• Provide ongoing support and guidance to staff throughout the event, addressing any issues or concerns promptly.

Inventory and Resource Management:

• Maintain inventory of event supplies, equipment, and materials, replenishing as needed.
• Coordinate rental or purchase of additional resources required for specific events.
• Ensure proper storage, handling, and maintenance of equipment to prolong lifespan and functionality.
• Monitor expenses related to resources and equipment, identifying cost-saving opportunities where possible.

Health and Safety Compliance:

• Ensure compliance with health and safety regulations and industry standards.
• Implement measures to mitigate risks and hazards during events, such as crowd control and emergency evacuation plans.
• Conduct inspections of event spaces to identify potential safety concerns and address them proactively.

Qualifications

• Required to lift and/or move items 25-50lbs
• Food Handlers permit and Alcohol Manager certification preferred
• Must be highly organized and eager to learn the entire event process.
• Proven customer service skills
