Job Overview:
We are seeking a detail-oriented and organized individual to join our team as an Operations Assistant. As an Operations Assistant, you will play a crucial role in supporting the day-to-day operations of our company. The position is responsible for answering the phone, greeting, and assisting visitors, serving as a librarian, and assisting the Operations Team with a variety of administrative tasks. This is a full-time position with opportunities for growth and development.
Responsibilities:
- Provide administrative support to the operations team
- Responsible for shipping class materials, including uploading tracking and delivery confirmations to the Student Information System.
- Receive and process payments for books, classes, and materials.
- Maintain and update the Outlook Calendar for meetings, appointments, and deadlines
- Perform data entry tasks accurately and efficiently
- Responsible for assisting with morning class check-in and set up for meetings and events.
- Answer phone calls and greet visitors with professionalism and excellent phone etiquette
- Monitor and maintain multiple email addresses and provide timely responses.
- Responsible for front desk duties, including receiving and distributing mail and packages
- Collaborate with team members to ensure smooth workflow and effective communication
- Provide exceptional customer service to clients and vendors
Skills:
- Proficient in office management software such as Microsoft Office Suite
- Strong computer literacy skills, including proficiency in word processing, spreadsheets, and email communication
- Excellent organizational skills with the ability to prioritize tasks effectively
- Attention to detail and accuracy in data entry tasks
- Ability to handle multiple responsibilities simultaneously while meeting deadlines
- Strong written and verbal communication skills
- Previous experience in an office setting is preferred
