This is a part-time position that will give you the chance to work with the President/CEO, staff, and sub-contractors on various administrative and event-related tasks. You will also get to meet and network with our amazing members and partners and help us promote the economic well-being of our community. As an Operations Assistant, you will use your superb organizational, communication, and computer skills to perform a variety of clerical duties, such as data entry, proofreading, filing, and scheduling. You will also help with creating reports, presentations, and correspondence using MS Office Suite. You will collaborate with other staff members and handle sensitive information with care.

Duties:
- Serve as a front desk representative, greeting visitors and answering phone calls
- Support the President/CEO, staff, and sub-contractors in executing special projects and assignments
- Manage the President/CEO's calendar
- Coordinate the preparation and distribution of Board packets
- Facilitate Board meetings by handling logistics such as ordering/picking up food and preparing the boardroom, while also recording meeting minutes
- Assist with organizing and maintaining files and documents
- Coordinate with members to schedule community events
- Assist with the planning and coordination of annual fundraising events
- Process monthly member invoices and track sponsor invoices
- Handle member payments and address account-related inquiries.
- Collaborate with the Bookkeeper on tasks like completing check requests and reconciling receipts with credit card statements
- Perform data entry tasks accurately and efficiently
- Develop and maintain informational brochures about the local business community
- Assist with posting pre-created content on various platforms
- Communicate essential member benefit information to new members
- Oversees the Scholarship Program application and interview process in close collaboration with the Scholarship Committee Chair.
- Process Certificates of Origin
- Manage incoming, outgoing, and returned mail
- Ensure the office is well-stocked with necessary supplies, running errands as needed.
- Perform additional administrative duties as assigned.
Qualifications:
- A high school diploma or equivalent
- At least one year of experience in an administrative or customer service role
- Proficiency in Microsoft Office applications and other software tools
- Excellent verbal and written communication skills
- Strong organizational and time management skills
- Ability to work independently and as part of a team
- Ability to multitask and prioritize effectively
- Attention to detail and accuracy
- A positive and professional attitude
