Position: Operations and Events Manager
The Operations and Events Manager is an integral part of Cousins Maine Lobster and is pivotal in ensuring the successful execution of various events and daily vending locations. You will manage and oversee all logistics, manage resources, and oversee the operational aspects to guarantee seamless execution and exceptional attendee experience. This position requires excellent organizational skills, attention to detail, and the ability to thrive in a fast-paced environment.
Essential Skills Required for this Role:
● Organizational & Communication Skills: Managing multiple tasks, prioritizing responsibilities, and maintaining attention to detail amidst changing priorities and tight deadlines. Strong verbal and written communication skills to effectively convey information, collaborate with team members, negotiate with vendors, and provide clear instructions to team members.
● Problem-Solving Abilities: Capacity to identify potential issues, develop creative solutions, and make quick, effective decisions to address challenges that arise before and during all shifts.
● Team Coordination: Proficiency in coordinating and collaborating with cross-functional teams, delegating tasks effectively, and providing support and guidance to team members.
● Budget / Inventory Management: Experience developing and managing the cost of goods, tracking expenses and inventory of all products, processing invoices, and identifying cost-saving opportunities without compromising food quality.
● Adaptability: Flexibility to adapt to changing circumstances, unexpected challenges, and evolving event requirements while maintaining composure and professionalism under pressure. Must be able to work on truck shifts. Must be able to lift 40 lbs.
● Customer Service Orientation: Commitment to providing exceptional customer service, addressing inquiries, resolving concerns, and ensuring a positive event experience for all participants.
● Technical Proficiency: Familiarity with Microsoft Office Suite and Google (e.g., Excel, Word, PowerPoint) to streamline processes, track progress, and manage event logistics efficiently.
An Operations Coordinator's essential functions encompass various responsibilities to ensure the smooth planning, organization, and execution of daily vending locations. These functions typically include:
Logistical Coordination, Social Media and Marketing:
● Coordinate all logistical aspects of daily shift locations, including location, setup and breakdown, inventory, and staff management.
● Responsible for obtaining all required permits for every vending location
● Responsible for organizing all event binders
● Responsible for overseeing all creative content on social media
● Responsible for following brand grand lines and procedures to execute successful marketing campaigns
Vendor and Supplier Management:
● Responsible for accepting all deliveries.
● Report any damaged product to the proper vendor/contact
Team Collaboration and Supervision:
● Responsible for updating the staff schedule template
● Oversee staff members during the morning load-in process
● Provide guidance, support, and training to team members
Inventory Management:
● Daily/Weekly counts of CML Products
● Oversee all load-in procedures
● Oversee Commissary Prep Team.
Customer Service:
● Ensure a positive customer experience by providing exceptional customer service, addressing inquiries, resolving concerns, and exceeding expectations.
Administration:
● Responsible for filing and uploading all invoices and expenses on the drive
● Maintain accurate records, documentation, and files for all daily vendinglocations, logistics, expenditures, and vendor contracts.
● Prepare reports, summaries, and analyses of daily vending shifts.
Qualifications:
● Bachelor's degree in Hospitality Management, Event Planning, Business Administration, or related field.
● Proven experience 2-3 years in event operations, logistics coordination, or similar roles.
● Strong organizational skills with exceptional attention to detail and the ability to manage multiple tasks simultaneously.
● Excellent communication, negotiation, and interpersonal skills, with the ability to collaborate effectively with diverse stakeholders.
● Proficiency in project management tools, event management software, Microsoft Office Suite, and Google Suite.
● Flexibility to work evenings, weekends, and holidays as required by event schedules.
