We seek an Operations & Administration Assistant interested in growing with the practice by providing the best in class service to our existing and future clients while supporting the growth strategy of the firm. This person requires a wide variety of operations and support functions and to assist the people, process, and systems which comprise the support operations.
Individuals in this role support financial professionals by providing comprehensive administrative, client relations, and service support.

JOB DESCRIPTION:
Service
- Works directly with clients on service questions and changes: handles complex issues and problems independently
- Is resourceful and uses company reference materials and contacts fluidly
- Maintains integrity of client record systems
- Interface with custodians
- Returns clients calls, requests, emails and inquires within 24 hours
- Notifies financial professional immediately of client issues or concerns needing immediate resolution
Investment Reviews
- Books client appointments
- Communicates with clients on logistics and documentation required in preparation for review meetings
- Prepares and executes any and all presentations
Compliance
- Assists the financial professional in maintaining a compliant practice
- Coordinates maintaining compliant files, blotters, books and records
- Understands and adheres to policies regarding support from wholesalers, compliance approval for documents, proper use of stationary/business cards, and other required procedures
Administrative Support
- Helps keep financial professionals on track regarding daily, weekly, monthly, client and staff goals
- Prepares general correspondence as directed by the financial professional, or when necessary to provide service to clients
- Provides marketing support and helps with inputting and maintaining data base and coordinating client mailings
- Extensive knowledge in Microsoft platform and Outlook required to creates professional looking documents and projects
Interpersonal Skills
- Interacts with associates and clients in a courteous and respectful manner to create a consistent, predictable, and positive work atmosphere
- Takes action on office priorities in a proactive way and brings items to the attention of the financial professionals promptly
- Assist financial professionals and teammates. Is coachable and receptive to feedback
- Is attentive to detail, and a confidant written and oral communicator
Qualifications
- Bachelor's degree preferred from accredited institution
- Minimum 2 years experience as administrator
- Proficient with Microsoft Office, Outlook, Excel, Powerpoint
- Detail oriented, accurate, organized, priority driven
- Strong written and verbal communication skills
