Job Overview:
We are seeking a highly organized and motivated individual to join our team as an Office Supervisor. As the Office Supervisor, you will play a crucial role in overseeing and coordinating daily administrative and operational functions of our company. This position requires a combination of leadership skills, attention to detail, and a proactive approach to problem-solving.
Key Responsibilities:
· Team Leadership:
o Lead and motivate office staff to achieve performance goals.
o Provide guidance, training, and support to team members.
o Conduct regular meetings to discuss project status and address concerns.
o Foster a positive and collaborative work environment.
· Administrative Oversight:
o Oversee day-to-day office operations and ensure efficiency.
o Coordinate and prioritize tasks to meet deadlines.
o Monitor and manage office supplies, equipment, and facilities.
o Prepare and maintain project documentation
· Communication:
o Facilitate effective communication within the team.
o Address and resolve employee concerns in a timely manner.
o Address customer and stakeholder inquiries and issues promptly and professionally.
· Documentation and Record-keeping:
o Maintain accurate and up-to-date records, files, and databases.
o Ensure compliance with company policies and procedures.
o Prepare reports and presentations as needed.
· Process Improvement:
o Identify areas for improvement in office processes.
o Implement and streamline new procedures to enhance efficiency.
o Collaborate with management to implement best practices.
· Scheduling and Coordination:
o Schedule and coordinate meetings, appointments, and events.
o Liaise with project managers, field technicians and clients.
· Customer Service:
o Ensure a high level of customer service for both internal and external stakeholders.
Requirements:· Proven experience in office management or supervisory role.
· Familiarity with Solar/Electrical/HVAC is a plus
· Strong leadership and interpersonal skills.
· Excellent organizational and multitasking abilities.
· Exceptional written and verbal communication skills.
· Ability to adapt to a fast-paced and dynamic work environment.
