Job Description
Job Title: Office Specialist
Department: Office
Reports To: Director of Administrative Serivces
FLSA Status: Non-Exempt
Summary:
Answer incoming calls with patients, physicians, hospitals, clinics and rehabilitation facilities resulting in customer care. Assisting with the day-to-day needs of the office.
Responsibilities and Duties: (Note: Other Duties May Be Assigned)
- Initiate and maintain healthcare contacts by phone, fax and email. Maintain daily contacts with hospitals, physicians staff and patients
- Maintain on-going communication with employees of Preferred Care to ensure needs of the community and health care staff is being met
- Answer incoming calls and triage accordingly
- Contact agency referrals to verify address, patient contact, etc.
- Compile Start of Care Folders
- Issue medical supplies to filed clinicians and ensure adequate inventory
- Assist with meeting/orientation preparation
- Upload documents into EMR
- Compile hand delivery orders for Account Executives
- Other administrative duties as needed
Qualifications:
- High School Diploma or GED
- Customer Service
- Excellent analytical, problem-solving and decision-making skills
- Excellent organizational skills and detailed-oriented
- Excellent communication and interpersonal skills
- Self-directed and able to work autonomously with minimal supervision
Education and/or Experience:
- One year of customer service
Language Skills:
- Must possess good communication skills, both written and verbal in English. Ability to communicate in other foreign languages is desirable.
Reasoning Ability:
- Able to work under pressure and handle multi-task functions. Must be able to deal effectively with people. Must be self-motivated and resourceful.
