Serves as the Receptionist by receiving and transferring calls to the proper office or person.
Courteously assists other police agencies and citizens, directing them to the proper office.
Prepares bank deposits for fees collected by Headquarters and the Area Offices from the sale of fingerprints.
Supplies and prepares Vehicle Expense Reports (Form SP-21).
Prepares and completes Gasoline Consumption Record (Form SP-79).
Processes Highway Hazard and Information Reports.
Processes and files State Vehicle Crash (SP-209) reports.
Maintains the Division's vehicle rosters; processes and files Vehicle Expense Reports (SP-93) monthly; and Voyager Receipt for Gasoline or Diesel Purchases (SP-296) forms.
Retrieves mail from outside mail receptacle.
Prepares the Daily Supervisor Staffing Schedule.
Processes Notice of Vehicle Impoundment/Immobilization reports (Form SP-158).
Accepts delivery of subpoenas and Parcel Post items.
Serves as back-up leave coordinator.
Promotes public relations and establishes working relationships.
Minimum Qualifications
Working knowledge of office practices and procedures; of proper grammar, spelling, and punctuation; and of basic mathematics.
Skill in the use of desktop computers and using Microsoft Office applications (Word, Excel, PowerPoint) for the purposes of typing, data entry, drafting, and producing various documents; and in operating standard office equipment such as fax and copy machines.
Demonstrated ability to provide effective and courteous customer service; to receive and transfer calls; to collect fees and prepare deposits; to type routine reports and enter data in various computer systems/applications; to communicate effectively orally and in writing in English; and to work independently and as a member of a team.
Graduation from high school or equivalent.
Previous secretarial/administrative and word processing experience.
An equivalent combination of training and experience indicating possession of the preceding knowledge, skills, and abilities.
