OFFICE OPERATIONS ASSISTANT
BROOKLYN GRANGE ROOFTOP FARM

ABOUT THE POSITION:
Brooklyn Grange seeks an organized, detail-oriented Office Operations Assistant. The Office Operations Assistant will report to Brooklyn Grange’s Finance & Operations Managers and will work year-round across Brooklyn Grange’s Brooklyn locations, but will be based primarily at the company’s Brooklyn Navy Yard headquarters.
The Office Operations Assistant’s main work will support our Finance & Operations team with the day-to-day operations of the business. This role requires organization, a keen eye for detail, and a genuine desire to ensure the smooth operation of the business.
The right candidate is excited by the idea of digging into the minutia of business operations while learning about Brooklyn Grange, and doesn’t get bored by highly detailed tasks. This is the perfect position for someone who wants a steady routine but simultaneously needs some schedule flexibility. The position will entail between 16 and 24 hours of office/administrative work each week, paid at an hourly rate of $21.29/hour. While these hours can be somewhat flexible, they should be performed during regular business hours, Monday through Friday. This position will primarily work out of Brooklyn Grange’s headquarters in the Brooklyn Navy Yard, but will be required to visit our Sunset Park location periodically.
ABOUT THE COMPANY:
Brooklyn Grange is the world's largest green roof farming and intensive green roof business. We grow vegetables, and we design/install/maintain green roofs, gardens, and farms for clients ranging from private homes, to corporate headquarters, to non-profit organizations and schools. We also host programming & events on our rooftop farms in Brooklyn, NY.

KEY RESPONSIBILITIES:
Receive and direct visitors in our office as appropriate
Receive mail and deliveries; pack and send outgoing e-commerce shipments
Manage the smooth operation of office facilities, including but not limited to: regular maintenance of common areas, coordinate with Facilities team to address office issues, liaise and assist sub-tenants are needed, occasionally researching and purchasing materials and equipment, and troubleshooting issues as they arise
Organize and track office inventory at all office sites, as well as kitchen inventory; order office supplies and other company supplies as needed
Manage merchandise, hot sauce and honey inventory at all sites for tours & markets
Monitor and collect accounts receivable by contacting clients via telephone or email; communicate with managers on the status of their clients’ accounts
Assist with bookkeeping, filing, cash handling, and other Finance department projects as needed
Assist in managing the business’ email inboxes, reply to incoming inquiries in a timely, gracious and informative fashion; answer the occasional phone call.
Assist with other administrative and office management work as-needed, and be willing to jump-in on other work onsite when necessary

Enjoys administrative work, crossing items off a to-do list, and helping create organized systems and spaces
Is organized and detail oriented
Is comfortable and experienced with multitasking and prioritizing
Is a self-motivated go-getter with a dependable and strong work ethic, and can work independently;
Is a team player and genuine “people person” with gracious hospitality skills
Is reliable, trustworthy, and punctual
Is organized and professional in responding to emails in a timely fashion, can navigate Google Drive and Microsoft Office;
Experience with Adobe design products or Squarespace a plus but not required
Is interested in the environment, sustainable agriculture, food, and/or farming
