The Office ofthe Vice President for Research(OVPR) is seeking a highly motivated, detail-oriented, results-driven, proactiveand resourceful individual to join our team as an Executive Assistant. The mission of theOffice of the Vice President forResearch (OVPR) is to advance innovation and discovery. The core of thismission is the research, scholarship, and creative works of UNM faculty. TheOVPR seeks to facilitate these activities, resulting in new knowledge andapplications of value to academic communities and the public.
The selected individual will:
- Serve as primary point of initial contact on matters directed to the office for the Vice President for Research (VPR). Will work with other members of the OVPR Admin team to support the Associate Vice President for Research (AVPR) and other members of leadership in the OVPR
- Independently manage, oversee, and prioritize the activities of the OVPR executive team by determining appropriate course of action, referral, and/or response. Maintains confidentiality of information received.
- Serve as principal point of contact for executive scheduling, including scheduling all executive meetings involving the VPR; review, organize and maintain information/documents related to executive meetings, planning, and travel.
- Working with team members of the OVPR Admin, Communication, and Finance Team, will provide support for key OVPR events, including assisting with planning and execution of recognition events, the Research Administrator Symposium, Research & Discovery week, workshops, and other convening events, and hosting special visitors to campus.
- Provide administrative support for OVPR initiatives and meetings, including scheduling, note-taking, and process management.
- Maintain primary responsibility for monitoring and appropriately addressing email correspondence coming into the departmental email address.
- May supervise administrative staff members and student employees. This will include hiring, performance evaluation, goal setting, coaching, training, work allocation and problem resolution.
- Serve as a P-Card holder for the OVPR.
The ideal candidate will possess outstandingcommunication skills (both written and verbal), have demonstratedproblem-solving ability, display strong organizational and prioritizationskills, and will work closely with other members of the OVPR team toprofessionally represent the OVPR to internal and external constituencies.

Conditions of EmploymentMinimum QualificationsHigh school diploma or GED; at least 2 years of experience managing at least one of the following functional areas: fiscal services, administration and/or human resources AND 3 years of additional experience directly related to the duties and responsibilities specified.
Completed degree(s) from an accredited institution that are above the minimum education requirement may be substituted for experience on a year for year basis.
Preferred Qualifications- Bachelor's degree
- A minimum of 1 year of supervisory experience
- Demonstrated experience providing support for executive leadership - preferably providing support for multiple leaders in a cross-functional team environment
- Advanced level experience with Microsoft Office Suite, specifically, MS Outlook, Word, Excel, and PowerPoint
- Strong project or event planning, administrative and organizational skills and demonstrated problem solving ability
- Experience with or the ability to quickly learn university financial systems and procurement practices, including P-Cards, purchasing, special exceptions, Chrome River, time sheets, and travel reimbursement processes
- Experience working in an environment that requires adaptability, independent management of competing demands and adjustments to frequent change while staying professional and positive
- Ability to multi-task and meet time sensitive deadlines and to use excellent discretion when working with confidential information
- Ability to review existing processes and identify gaps, provide recommendations, build a strategy to resolve issues, and then implement solutions
- Excellent verbal and written communication skills
- Demonstrated engagement and support of diverse individuals as well as diversity, equity, inclusion, and access initiatives
