JOB SUMMARY
This position is responsible for managing an office of 15 employees as well as performing
Administrative duties as listed below.
ESSENTIAL JOB FUNCTIONS
- Coordinates with Human Resources to integrate new hires.
- Organizes and codes bills to be paid.
- Purchases and organizes office supplies.
- Documents personnel sick and annual leave.
- Assists with answering calls and taking messages.
- Communicates with maintenance personnel and IT when necessary.
- Date stamps and disburses office mail.
- Maintains violation of probation files.
- Intakes subpoena requests and prepares subpoenas.
- Closes Circuit Court cases.
- Schedule Grand Jury and issue GJ subpoenas.
- Assist the State’s Attorney in all aspects of the management and operation of the Office.
- Prepare charging documents in CC as needed.
- Open Circuit Court Cases (make file and initial filings).
- Maintains payroll.
- Duties as assigned.
QUALIFICATIONS
- Proven experience as an Office Administrator or similar role.
- Excellent organizational and time management skills.
- Strong written and verbal communication skills
- Ability to communicate effectively with all levels of the organization.
- Experience in team management or supervising administrative staff is preferred.
- Knowledge of phone etiquette and professional communication.
- Proficient in using office software, including MS Office (Word, Excel, PowerPoint).
- Ability to supervise, plan, and coordinate the work of a staff tasked with diverse duties to accomplish the Office’s goals and objectives.
- Ability to establish and maintain effective working relationships with County officials, associates, subordinates, outside vendors, representatives from other agencies and the public.

Pay: $48,000.00 - $58,000.00 per year
