Who are we looking for?
We are seeking to hire a part-time (approximately 35 hours/week) Office Manager who is self-motivated and detail-oriented to ensure that office duty needs are met in our downtown Chicago office. You are a team player with a great ability to multi-task!
This position will be hybrid based in our River North office at least 3 days a week, with remote work opportunity on other days.We are unable to provide sponsorship for work authorization for this role.
Responsibilities will include, but not be limited to:
- Manage conference space on Outlook Calendars.
- Stock Conference rooms with all needed supplies
- Order food for all meetings as requested.
- Order Staff Lunch every Tuesday.
- Order Supplies
- Coordinate all Staff Special Events Celebrations such as new babies, new homes, significant birthdays etc..
- Send gifts for staff life events.
- Keep kitchen stocked with basic supplies such as milk, Paper towels, coffee cups, plates, cutlery etc.
- Negotiate with all supply Vendors to ensure best pricing. IE coffee vendor, etc.
- Maintain all Kitchen/ Office Equipment – Have serviced as needed.
- Coordinate Pepsi ordering and delivery
- Coordinate with Building Management all maintenance and electrical needs
- Shipping as requested (excluding marketing)
- Receive all packages and ensure they are delivered to correct employee.
- Order general office supplies through approved vendors
- Keep supply room neat and organized.
- Order office furniture as needed.
- Dispose of broken furniture and outdated equipment as needed.
- Book lunch and dinner reservations for Senior Management as requested
- Coordinate new employees office access IE KEY CARDS
- Work with management team to determine office seating assignments.
- Implement administrative policies and procedures.
- Space Planning – coordinate with management for new hires.
- Coordinate "Visitor greetings" on Lobby TV
- Plan for growth and staffing increases.
Requirements:
- Exceptional administrative/customer service skills
- Organization skills: Prioritizing, productivity, creating and maintaining deadlines and collaboration
- Communication skills
- Proficient in all Microsoft applications
- Valid, unrestricted driver's license
