Position Overview
We are seeking a reliable and organized Part-time Office Manager to join our team. As the Office Manager, you will play a crucial role in ensuring the smooth operation of our administrative tasks and supporting the overall efficiency of our organization. This position offers an excellent opportunity for individuals passionate about education and interested in contributing to the success of a vibrant STEAM-focused community.
Responsibilities
- Manage day-to-day office operations including answering phones, responding to emails, and handling inquiries.
- Maintain organized filing systems, both physical and digital, to ensure easy access to important documents and information.
- Assist with scheduling, coordinating, and implementing (as needed) workshops, meetings, and educational programs.
- Coordinate with vendors, suppliers, and service providers as needed.
- Assist in managing inventory and ordering office supplies.
- Support administrative tasks related to program registration, student enrollment, and participant communication.
- Perform basic HR tasks such as maintaining employee records, processing payroll, and managing organizational budgets.
- Assist in drafting and updating HR policies and procedures.
- Coordinate employee onboarding and orientation activities.
- Provide administrative support to team members, including preparing contracts, ordering supplies, and maintaining program records and statistics.
- Work with the Board Treasurer on organization expenditures, tracking budgets, and preparing financial reports.
- Assist in managing calendars and coordinating company vehicle usage.
- Maintain confidentiality and adhere to legal requirements regarding sensitive information.
- Assist in maintaining cleanliness and organization of office space.
Qualifications
To excel in this role, you should possess the following skills:
- Three or more years of office management and administration experience.
- Strong time-management and people skills, high degree of flexibility, and excellent multitasking ability.
- Proficiency with office applications (e.g. Google Workspace, QuickBooks, etc.), and aptitude for learning new software and systems.
- Strong organizational skills with the ability to prioritize tasks effectively.
- Excellent communication and interpersonal skills.
- Ability to work independently and as part of a team.
- Passion for STEAM education and working with diverse communities.
Preferred skills and qualifications
- Bachelor’s degree or equivalent
- Bilingual
- Advanced computer skills and experience with online platforms
