Overview
We are seeking a highly organized and experienced Office Manager to oversee the day-to-day operations of Face Forward Houston. The Office Manager will be responsible for managing administrative tasks, coordinating patient services, and ensuring the efficient functioning of the office. The ideal candidate will possess strong leadership skills, exceptional communication abilities, and a passion for delivering superior patient care.
Responsibilities:
Administrative Management:
- Supervise and coordinate the activities of administrative staff, including receptionists, medical assistants, and billing personnel.
- Oversee patient scheduling, registration, and check-in processes, ensuring accuracy and efficiency.
- Manage office supplies, equipment, and facility maintenance to ensure a well-functioning and welcoming environment.
- Lead daily and monthly team meetings
Patient Services:
- Serve as a point of contact for patient inquiries, concerns, and complaints, providing timely and courteous assistance.
- Coordinate patient consultations, surgeries, and follow-up appointments, ensuring seamless communication between patients and medical staff.
- Maintain confidentiality and adhere to privacy regulations (e.g., HIPAA) when handling patient information.
Financial Management:
- Oversee billing and collections processes, including insurance verification, payment processing, and resolution of billing inquiries.
- Assist with tracking office finances
- For cases that require it, manage the entire insurance billing process.
- Staff Training and Development:
- Recruit, train, and supervise administrative staff, providing ongoing coaching and professional development opportunities.
- Conduct performance evaluations, set goals, and provide constructive feedback to ensure a high level of productivity and job satisfaction.
Compliance and Quality Assurance:
- Ensure compliance with regulatory requirements, practice policies, and industry standards related to patient care and office operations.
- Implement quality assurance measures to uphold standards of patient safety, satisfaction, and service excellence.
- Assist with physician credentialing at hospitals and surgery centers
- Assist with medical licensing, DEA and office based anesthesia
Marketing and Patient Outreach:
- Collaborate with marketing personnel to develop and implement strategies for patient acquisition, retention, and engagement.
- Participate in community outreach activities, networking events, and promotional campaigns to raise awareness of the practice and attract new patients.
Qualifications:
- Education and Experience: Bachelor's degree in healthcare administration, business management, or a related field. At least two (2) years experience in a clinical or a medical office. Previous experience in a medical office management role, preferably in a plastic surgery practice, is highly desirable.
- Leadership Skills: Strong leadership, team-building, and conflict resolution skills, with the ability to motivate and inspire a diverse team.
- Communication Skills: Excellent verbal and written communication skills, with the ability to interact professionally with patients, staff, physicians, and external stakeholders.
- Organizational Skills: Exceptional organizational and time management abilities, with a keen eye for detail and the ability to prioritize tasks effectively.
- Technology Proficiency: Proficient in using electronic health record (EHR) systems, practice management software, and the Google and Microsoft suite of tools.
- Customer Service Orientation: A commitment to providing exceptional patient care and service, with a focus on fostering positive patient experiences and relationships.

Pay: $19.00 - $30.00 per hour
