Manage day-to-day operations for Zeis Textiles Extension (ZTE) office. Provide day-to-day logistical support for all in-person ZTE short courses.
This position is responsible for:
- Purchasing office supplies and placing orders for ZTE staff
- Book travel for ZTE employees as needed
- Accepting, verifying and paying invoices
- Supporting onsite logistics for ZTE courses and events
- Coordinating and ordering meals for training classes or business meetings.
- Communicating with customers, potential customers, contractors, and suppliers
- Shipping materials for all ZTE staff, especially the laboratory managers
- Supervising ZTE student office workers
- Supporting Director and Associate Director with scheduling and calendar management.
- Plan and coordinate calendar to ensure smooth execution of courses and events
- Managing ZTE classrooms and breakroom
- PCard reconciliations
- Special projects as assigned
Other duties as assigned.
Minimum Experience/Education:High School Diploma or equivalency and one year of related office experience; or equivalent combination of training and experience.
Other Required Qualifications:- Ability to professionally and courteously deal with the public, particularly ZTE clients.
- Ability to manage multiple tasks simultaneously; ability to prioritize tasks; ability to independently meet deadlines.
- Previous experience as an administrative assistant or office administrator.
- Must be proficient in MS Word and Excel as well as the entire Google Suite.
- Related office experience in a university setting.
