Job description

The Office Coordinator will provide specialized administrative and reporting support for the staff. The Office Coordinator will assist the staff in the execution of their duties and support of the management staff, including preparation of reports, oversight of the offices and other duties as required.

MINIMUM REQUIRMENTS:

  • High school diploma or GED
  • Minimum of five (5) years related experience; or, a combination of college coursework and work experience in the administrative support area will be accepted in lieu of five years of related experience.
  • Detailed knowledge and understanding of Microsoft Outlook, Excel, Word, PowerPoint, and Adobe Acrobat.
  • Possess excellent public relations skills and have the ability to work with people in all levels of the organization
  • Extreme organizational ability.

RESPONSIBILITIES:

  • Supervise the onsite onboarding, organizing of the head start assignments, and certification information including letters of suitability and entering information into child plus.Act as Liaison to the Human Resources department
  • Receive, open, and date-stamp all project mail and packages and route to appropriate person, including receipt of money.
  • Responsible for logistical management of the IPC office, i.e. placement of personnel, facility maintenance, security of building, supplies, etc.
  • Greet guests and answer telephone, resolving complex guest/caller needs (within broadly defined guidelines).
  • Maintain files, as required.
  • Secure/maintain supplies for the offices; handle printing requests.
  • Organize and balance multiple and competing priorities on calendars; coordinate and schedule meetings for facility, including reservations for meeting areas and food service arrangements, and material preparation, if needed.
  • Recording/typing of leadership minutes, meeting logistics/planning for internal/external meetings
  • Review invoices prior to submission to Finance for payment
  • Assist Finance regarding budgets, expenditures, etc., if needed.
  • Assist with technology needs in the buidling.
  • Help with security at the facility.
  • Other duties as assigned.
