```Job Overview:
We are seeking a highly organized and detail-oriented Front Office Manager to join our team. The Front Office Manager will be responsible for overseeing the daily operations of the Front Office, providing exceptional customer service, and ensuring efficient administrative support. This is a key role that requires excellent communication skills, strong organizational abilities, and the ability to multitask effectively.
Duties:
- Manage the front desk and reception area, ensuring a welcoming and professional atmosphere
- Greet and assist visitors, clients, and employees in a friendly and professional manner
- Answer phone calls, respond to inquiries, and direct calls to appropriate individuals
- Schedule appointments and maintain calendars for staff members
- Coordinate meetings, conferences, and events, including making arrangements for catering and audiovisual equipment
- Perform general administrative tasks such as typing, filing, photocopying, and data entry
- Assist with proofreading documents and correspondence for accuracy
- Handle customer support inquiries and resolve issues in a timely manner
- Maintain office supplies inventory and place orders as needed
- Ensure compliance with company policies and procedures
Skills:
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint)
- Experience with event planning and coordination
- Knowledge of QuickBooks or other accounting software is a plus
- Strong organizational skills with the ability to prioritize tasks effectively
- Excellent attention to detail and accuracy in all work performed
- Ability to handle sensitive information with confidentiality
- Previous experience as a personal assistant or in a similar role is preferred
- Familiarity with medical receptionist duties is a plus
- Exceptional customer service skills with the ability to handle difficult situations professionally
