Reporting to the Claim Manager, the Office Coordinator supports the office in completing administrative tasks supporting the day-to-day operations. The ideal candidate is detail-oriented and has exceptional communication, organization, and time management skills. This role is responsible for supporting our office operations located in South Burlington, Vermont.
Responsibilities:
- Maintains postage meter, including filling meter, ink replacement and meter troubleshooting.
- Prepares mail for delivery to electronic data management vendor.
- Sorts and delivers all incoming mail within departments, including coordinating inter-office mail.
- Prepares outgoing UPS packages and certified mail for pickup.
- Prints, stamps, and mails letters.
- Researches and resolves unidentified and misdirected mail.
- Researches and resolves unidentified claims.
- Prepares reports for the management team.
- Greets office visitors and escorts vendors or notifies appropriate staff of visitor arrivals, when applicable.
- Coordinates outgoing mail with fulfillment vendor.
- Manages paper and envelope inventory for the office.
- Reconciles UPS and vendor invoices.
- Scans documents and loads them to appropriate systems or shared folders.
- QA’s loaded scanned documents.
- Reviews returned mail and forwards live checks to VT Finance Department.
- Monitors and Orders office and kitchen supplies.
- Performs other related admin duties.
Physical Requirements:
- Prolonged periods sitting at a desk and working on a computer.
- Must be able to lift up to 20 pounds at a time.
Qualifications:
- High school diploma or GED.
- Ability to manage multiple processes and computer systems, set priorities, and meet deadlines.
- Adept and efficient data entry skills.
- Working knowledge of Microsoft Office and the ability to integrate and learn new systems.

Cobalt Benefits Group, LLC (“CBG”) is a full-service Third-Party Administrator (“TPA”) that has specialized in the customization, marketing, and operation of self-funded employee benefit plans for over 30 years. CBG is comprised of approximately 185employees and 3 entities:
- Blue Benefit: a venture of Blue Cross Blue Shield of Massachusetts
- CBA Blue: a venture of Blue Cross Blue Shield of Vermont
- EBPA: a privately held TPA that specializes in ancillary benefits.
What We Do:
CBG provides TPA assistance to employers with Self-funded-insurance plans to:
- build custom benefit plans for its workforce,
- collect premiums from enrollees by avoiding interference and costly premiums from an insurance carrier, and
- dispute or pay medical claims.
