Interstates is seeking a full time Office Coordinator to support our Manhattan, Kansas Regional Office! The ideal candidate thrives in an environment that is ever-changing and will effectively anticipate and execute tasks. This position is a key support person to the Regional Office that will provide administrative coordination and completion of day-to-day tasks. The right candidate will consistently provide a high level of service to office staff and site project teams while maintaining positive relationships. This position delivers an unwavering attention to detail whether it is a day-to-day duty or the coordination of a time sensitive material.

- Working within the Microsoft Office Suite to produce documents, manipulate spreadsheets, produce presentations, work within databases, email, and schedule various meetings and equipment.
- Maintains a positive, friendly demeanor when communicating with the office or field, whether it’s with other Interstates employees or current/potential clients (answering phones, email, instant messaging).
- Resolve invoicing questions, and update client databases.
- Support Project Managers, Project Executives, Planning Team, Estimators, Human Resources, Instrumentation, Service, Maintenance and others
- Responsible for setting up majority of company meetings and functions .
- Approves all necessary invoices through the payroll system (as requested)
- Assists in any necessary meeting arrangements.
- Document control (could include, but is not limited to) - Provide accurate documentation to internal and external clients, issue drawings, provide updated redlines, and product information as requested.
- Support shipping and procurement as requested.
- Assist in any general administrative request from individuals listed above
