Job Overview
The Office Assistant will handle incoming daily maintenance requests, field calls, coordinate repairs with vendors and tenants, invoicing of vendor bills, and communicate with the property manager as to the status of jobs. Ideal candidate will be customer service orientated, able to multi-task and have great time management skills, a good communicator, detail orientated, and able to prioritize jobs. Job Responsibilities
- Filing and organizing paperwork in tenant files
- Scanning and uploading documents to our company Dropbox account
- May need to meet with tenants to assist with the completion of recertification forms
- Following up with tenants for signatures on paperwork
- Assist with date sensitive paperwork.
- Retrieve candidates from the waitlist and work with applicants to complete the necessary application
- Assist with interviewing, running background checks and credit checks for all new applicants
- Show vacant units to applicants
- Answer and return all phone calls
- Keep PM up to date on tenant concerns or needs
- Notify maintenance manager and put in work orders for maintenance requests
- Communicate with resident services regarding any tenant issues
- Mail/deliver rent and delinquency statements
- Collect rents from rent boxes, date stamp, and photocopy rent checks
- Assists in performing move-in, annual unit, and move out inspections
Requirements:
- 1-3 years of administrative assistant experience. Experience in the property management field is not required. Willing to train the right individual.
- Must be willing to travel between local property locations.
- Strong organizational skills that reflect the ability to perform and prioritize.
- Excellent attention to detail and the ability to handle multiple tasks seamlessly.
- Ability to handle confidential information with discretion and to adapt to various competing demands.
- Demonstrates ability to achieve high performance goals and meet deadlines in a fast-paced environment.
- Forward looking thinker, who actively seeks opportunities and proposes solutions.
- Proficient knowledge of Microsoft Office (Excel, Word, Publisher) as well as Adobe Acrobat (scanning & merging files) is preferred.
