We are seeking a highly organized and detail-oriented Office Assistant to join our team. The Office Assistant will be responsible for providing administrative support, managing phone systems, transcribing documents, and assisting with various office tasks. The ideal candidate will have excellent organizational skills, strong attention to detail, and the ability to multitask effectively.
Responsibilities:
- Answer and direct phone calls in a professional and courteous manner
- Entering data into Quickbooks
- Typing estimates in a timely manner
- Manage office supplies inventory and place orders as needed
- Assist with scheduling appointments and maintaining calendars
- Perform general clerical duties, such as photocopying, scanning, and filing
- Maintain a clean and organized office environment
- Provide administrative support to staff as needed
Experience:
- Must have experience in Quickbooks
- Previous experience in office management or administrative roles preferred
- Proficient in using phone systems and handling multiple phone lines
- Strong typing skills with a high level of accuracy
- Excellent organizational skills with the ability to prioritize tasks effectively
- Attention to detail and strong proofreading abilities
- Customer service-oriented with excellent communication skills
- Computer literate with proficiency in Google Drive and Excel
- Ability to handle confidential information with discretion
