Summary/Objective
The Office Assistant provides clerical and administrative support and routine assistance related to activities in the front office and of the Executive Assistant. The Office Assistant assists the Office Manager and the Executive Assistant in their daily duties. This position works with other staff to accomplish goals, including a vibrant, collaborative work culture.
Essential Responsibilities
- Opens and closes the office for normal business, Monday - Friday.
- Provides in-person front desk reception during normal business hours, Monday –Friday, demonstrating a high level of customer service and phone etiquette.
- Monitors the main phone line, general email accounts, replies and directs inquiries to the appropriate parties.
- Provides accurate information for inquiries related to the intake and grants process and general inquiries.
- Provides clerical and administrative support as directed by supervisor to the Vice Presidents, Directors, Office Manager, and Executive Assistant.
- Acts as back up to Office Manager and Executive Assistant position as necessary.
- Sends, sorts and distributes mail, responds to inquiries, and prepares correspondence.
- Supports complex calendaring and event scheduling efforts as directed by Office Manager, Executive Assistant, Project Manager, or the Vice Presidents.
- Performs general upkeep and maintenance of the staff kitchen and employee work room.
- Assists with Foundation events, board meetings and other projects.
Qualifications
- Alignment with the Foundation’s mission and vision.
- Previous experience providing excellent customer service to visitors and callers, while supporting a professional office environment, preferred.
- Must have a valid driver’s license and proof of insurance.
Educational Requirements
- High school degree, GED or equivalent, preferred. Experience can substitute.
