Overview:
We are seeking a highly organized and detail-oriented Office Assistant to join our team. As an Office Assistant, you will play a crucial role in ensuring the smooth operation of our office. Responsibilities:
Administrative Support:
- Manage and organize office files, documents, and records.
- Assist in scheduling and coordinating meetings, appointments, and events.
- Handle incoming calls, emails, and correspondence in a professional manner.
- Prepare and edit documents, reports, and presentations as needed.
Accounting:
· Assist in basic financial tasks, such as processing invoices and expense reports.
· Keep accurate records of financial transactions.
· Identify and resolve accounting discrepancies and irregularities.
Website Updates:
- Regularly update and maintain the organization's website content.
Office Supply Ordering:
- Monitor and manage office supplies inventory, order as needed for thrift store and food pantry
IT Liaison:
- Act as a point of contact with external IT support for resolving computer-related and phone issues.
- Maintain computer/laptop inventory and assignment of laptops.
Social Media Posts:
- Develop and schedule engaging content for social media platforms for food pantry and thrift store.
- Monitor social media channels for community engagement.
Human Resources:
- Post job opportunities internally and externally.
- Responsible for keeping policies and employee handbook updated
Weekly Newsletter Publication:
- Gather content and publish weekly newsletter for internal and external audiences.
Mail Management:
- Pick up mail daily from the post office and building mailbox.
- Open, date stamp, and sort mail and route to the appropriate department
Staff and Volunteer Events:
- Assist in the planning and coordination of staff and volunteer events.
- Provide logistical support for events to ensure smooth execution.
Qualifications:
- Proven experience in office management or a related field.
- Strong organizational and multitasking abilities.
- Proficiency in Microsoft Office Suite
- Excellent communication and interpersonal skills.
- Familiarity with website maintenance, social media platforms, and Canva design software.
- Ability to handle confidential information with discretion.
- Familiarity with Bill.com and Gusto payroll software a plus.
- Attention to detail and problem-solving skills
Job Type: Part-time
Pay: $17.00 per hour
Expected hours: 20 – 25 per week
