As an Office Assistant in our leasing office, you will play a vital role in providing administrative support and ensuring smooth day-to-day operations. You will be the first point of contact for tenants and prospective renters, providing exceptional customer service and assistance with inquiries. This position requires strong organizational skills, attention to detail, and the ability to multitask in a fast-paced environment.
Key Responsibilities:
Customer Service:
- Greet and welcome visitors to the leasing office, assisting them with inquiries and directing them to the appropriate personnel.
- Respond promptly to phone calls, emails, and other correspondence, providing information about available rental units, lease terms, and amenities.
- Schedule property tours for prospective tenants and follow up with them to gather feedback and answer any additional questions.
Administrative Support:
- Assist with lease preparation and renewal processes, ensuring all required documents are completed accurately and signed by the appropriate parties.
- Maintain tenant records and lease agreements in an organized manner, entering data into the property management system as needed.
- Process rental applications, conduct credit and background checks, and verify employment and rental history for prospective tenants.
Marketing Assistance:
- Collaborate with the marketing team to update and maintain online listings and advertisements for available rental units.
- Assist in organizing and promoting leasing events and open houses to attract prospective tenants and generate leads.
Office Management:
- Manage office supplies inventory and place orders as needed to ensure adequate stock levels.
- Coordinate maintenance requests and repairs for office equipment, liaising with vendors and service providers as necessary.
- Maintain cleanliness and organization in the leasing office, including reception and common areas.
Qualifications:
- Previous experience in a customer service or administrative role is preferred.
- Strong communication skills, both verbal and written, with the ability to interact professionally with tenants, coworkers, and vendors.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and property management software is a plus.
- Excellent organizational skills and attention to detail, with the ability to prioritize tasks and manage time effectively.
- Knowledge of leasing processes and Fair Housing regulations is desirable but not required.
