Where does the Administrative/Accounting Assistant fit in?

The Administrative Assistant is responsible for maintaining general office services by organizing office operations and procedures; review and manage required office supplies; assign and monitor clerical functions. The Administrative Assistant will support corporate HR with coordination of local interviews; liaising with staffing agencies; updating HR systems and must have working knowledge of basic accounting functions.

What can you expect as our next Administrative/Accounting Assistant?

Accounting Tasks:

  • Assist with purchasing needs such as inputting quotes into the Accounting Software, creating Purchase Orders (POs),
  • Basic accounting tasks - prepare and submit customer invoices, process purchase invoices with supporting documents (packing slips, service report etc.), reconcile suppliers/customers’ accounts, recording credit card transactions, employees’ expenses reimbursement
  • Supply petty cash to employees and maintain petty cash log in excel with all receipts and approved forms
  • Support corporate accounting with day-to-day AP/AR processes

Administrative Tasks:

- Act as the key point of contact for timely communication at local division

- Act as an extension of the HR team supporting the management team, internal staff and collaborating with HR at corporate as required

- Answer all incoming calls to the front desk

- Greet all incoming visitors and assist with their sign-in

- Support with customer visits and tours as required

- Schedule out meeting rooms and ensure it is equipped and presentable for meetings as required i.e., organize with IT department

- Ensure any office maintenance/cleaning requirements are handled efficiently i.e. rug cleaning, pest control, etc. for smooth office operation

- Manage business relationship with various vendors- (cleaning services, office supplies, snow removal/landscaping etc.)

- Maintain inventory of all office supplies, ordering supplies when low. Co-ordinate purchase of office furniture as required

- Distribute all incoming mail, assist with preparation of outgoing mail when needed

- Support with reservations, airline/hotel/vehicle for staff according to company policy

- Assist with maintaining office security system and building access as required

- Ensure compliance to IATF, systems and procedures (with direction)

- Perform 5S and H&S audits as directed

- Support in HR duties as requested, such as:

  • Assist with recruitment process, making calls, coordinating & Scheduling Interviews
  • Support with onboarding of new hires
  • Assist in the preparation of the bi-weekly payroll and other payroll related activities
  • Assist with performance appraisals
  • Ensuring H&S training is completed by all new hires
  • Ensure timely replenishment of H&S supplies & liaising with vendor for replenishment
  • Assisting & organizing fire drills
  • Be a member of the JHSC managing meetings and recording minutes
  • Assist with the co-ordination of corporate events

- Other duties as assigned

Are you our next Administrative/Accounting Assistant?

  • 5+ years of experience working as an Administrative Assistant or related field
  • Working knowledge of basic accounting functions and tasks is a requirement
  • Exceptional Interpersonal skills- oral and written communication skills
  • Excellent command of the English Language
  • Excellent telephone communication skills
  • Ability to communicate effectively with all staff levels from Executive team to Employee level
  • Self-starter with a positive attitude
  • Able to manage multiple priorities efficiently
  • Excellent at problem solving and highly organized in a busy environment
  • Have the ability to exercise tact and discretion in dealing with sensitive and confidential information
  • Tech-savvy - Proficient with Microsoft Office,
  • Strong team player with a strong attention to detail
  • Passionate desire to learn new things and adapt when needed
  • Have a strong sense of responsibility and able to handle sensitive matters
  • Experience in a manufacturing environment is an asset!
