We are seeking to add an experienced Office Administrator to our team. The ideal candidate is highly organized, detail-oriented, and is available to work 25 hours per week in a professional office environment.
Responsibilities
Coordinate the overall administration of the office:
- Greets visitors with a courteous and friendly disposition, determines name and nature of business, and refers to appropriate department or employee.
- Sets up files for prospective clients and files general correspondence to ensure information remains organized.
- Processes incoming mail by opening and distributing to appropriate employees. Prepares and mails outgoing correspondence and information.
- Coordinates conference room usage and schedules regular or intermittent activities or meetings. Coordinates team birthday and anniversary recognitions. May keep track of vacation schedules and back-up coverage.
- Orders and maintains office supplies and forms by periodically checking inventories of supplies on hand, completing purchase requisitions to order additional supplies and ensuring accurate orders are received.
- Maintains and updates CRM system, ensuring accurate and up-to-date client information. Adds team to tech stack for new project assignments.
- Proofreads generated correspondence by reviewing and correcting errors in grammar, punctuation, and spelling, and checking factual correctness and conformance with policies to ensure correspondence is accurate. Calls any deviations to the attention of the writer.

- Manages client administration tasks to include mail pickup, scanning, and bank deposits.
- Assists team with accounting data entry tasks.
Skills and Qualifications
- Two (2) or more years of office administration experience in a professional office setting is required.
- High School Diploma or equivalent.
- Highly-organized team player who is positive, professional and able to manage multiple priorities.
- Strong interpersonal, communication and decision-making skills with a keen eye for detail.
- Solid Microsoft Word, Excel, PowerPoint and Outlook skills.
- Comfortable with the latest office technologies and applications.
- A proactive thinker with effective problem-solving skills.
- Discretion in handling sensitive information.
- Proactive mindset with a determination to contribute to the success of our business.
- Ability to pass criminal/registry background checks.
- Bookkeeping and/or QuickBooks Online experience is a plus.
Job Type: Part-time
Pay: $18.00 - $22.00 per hour
Expected hours: 25 per week
