Job Details:
  • Job Title – Office Admin Manager in Substance Abuse (Clinic)
  • Location – Westminster, Orange County
  • Type – Temp to Hire
We are seeking a highly organized and experienced Office Administration Manager with a background in Substance Abuse treatment to join our team in California.
Position Overview:
  • The ideal candidate will play a crucial role in managing the day-to-day administrative operations of our facility, ensuring smooth and efficient processes.
  • This position requires a deep understanding of Substance Abuse treatment programs and the ability to navigate the unique challenges associated with this field.
Responsibilities -
Administrative Leadership
  • Oversee and lead the administrative team, providing guidance, support, and training as needed
  • Develop and implement efficient office procedures and policies to enhance overall productivity
Substance Abuse Program Knowledge:
  • Possess a comprehensive understanding of Substance Abuse treatment programs, regulations, and compliance requirements in California.
  • Collaborate with clinical staff to ensure administrative processes align with the treatment goals and objectives of the facility.
Staff Management:
  • Recruit, train, and supervise administrative staff, ensuring a high level of professionalism and adherence to ethical standards.
  • Conduct performance evaluations and provide constructive feedback to support professional growth
Document and Record Keeping:
  • Oversee the accurate and timely documentation of client records, ensuring compliance with state and federal regulations.
  • Implement and maintain electronic health records (EHR) systems to streamline documentation processes.
Financial Management
  • Collaborate with the finance department to manage budgets, track expenses, and ensure financial sustainability.
  • Process invoices, maintain financial records, and assist in billing procedures.
Facility Coordination:
  • Coordinate the logistics of the facility, including maintenance, security, and supplies.
  • Work closely with external vendors to ensure the facility is well-maintained and equipped to meet the needs of clients and staff.
Client Interaction
  • Interact with clients in a professional and supportive manner, addressing administrative concerns and providing assistance as needed.
Compliance and Regulations 
  • Stay informed about changes in state and federal regulations related to Substance Abuse treatment and ensure the facility's compliance.
Qualification
  • Bachelor's degree in Business Administration, Healthcare Management, or a related field.
  • Proven experience of 1 year in Office Administration, preferably in a Substance Abuse treatment setting.
  • Familiarity with California-specific regulations related to Substance Abuse treatment facilities.
  • Strong leadership and interpersonal skills.
  • Excellent organizational and multitasking abilities.
  • Proficient in the use of office software and electronic health records systems.
