Job Description

Job Title: Programs Manager

Job Summary: The Programs Manager will report directly to the Executive Director. They will be a responsible leader with an analytical and strategic mind and have a broad understanding of non-profit program cultivation and management. They will be instrumental in the success of the grants and programs of VRFSC. As such, they will generally ensure that VRFSC’s programs, grants, and projects run smoothly and are operating efficiently. Additionally, the Programs Manager will oversee and supervise the programmatic staff. They must have excellent verbal and written communication, enabling them to communicate ideas between the board, ED, and programmatic staff. They must have an innovative mindset that allows them to solve problems that arise pertaining to programmatic and grant activity.

DUTIES & RESPONSIBILITIES

PROGRAM MANAGEMENT

❖ Oversee and manage programmatic aspects of VRFSC including progress of projects, program management, and supervision of programmatic staff.

❖ Lead discussions on the development and implementation of VRFSC’s programs.

❖ Foster and develop relationships with partners and funders as it pertains to VRFSC’s programs.

❖ Organize programs and activities in accordance with the mission and goals of the organization.

❖ Delegate programmatic responsibilities and roles based on working knowledge of current staff’s capacity and role.

❖ Continuously evaluate and assess programs’ strengths and weaknesses.

❖ Periodically report program and/or grant status and goals to the Board of Directors and key stakeholders.

❖ Coordinate with the Finance department to develop and/or monitor project budgets.

❖ Regularly meet with the Executive Director to keep them informed of progress and status of programs and grants.

❖ Oversee, evaluate, and manage programmatic staff with the mindset of improvement, growth, and setting the team up for success.

❖ Design a process to evaluate (qualitative and quantitative) program and project impact.

❖ Be on the lookout for new opportunities to bolster VRFSC’s programs and partnerships.

GRANT MANAGEMENT

❖ Assist in grant applications in the following manner:

  • Facilitate grants team to support development of grants.
  • Provide overall leadership of proposals based on input from programmatic team.
  • Work with the Finance Department to incorporate the scope of work with the budget.
  • Get input from the board prior to submitting a grant, if required.

❖ Evaluate programmatic gaps within the organization and with the Executive Director to explore funding options for new grant development.

❖ Oversee grant tracking and monitoring of deliverables and projects.

❖ Oversee the timely submission of monthly, quarterly, and annual reports.

❖ Participate in Grants Team meetings

OTHER

❖ Attend occasional evening and weekend community meetings.

❖ Participate on external committees and attend partner meetings, as needed.

Other Duties as Assigned

The VRFSC is a dynamic organization, and change is the norm. It is expected that employees will support the work of the whole team in carrying out the mission and may involve performing not only the functions listed in this document, but also working outside the parameters of the job description, as the need arises.

Minimum Requirements

● Minimum experience is a bachelor’s degree with three years of related experience, or comparable work experience.

● Experience with fire science, wildfire prevention work, and disaster preparedness is a plus.
● Experience planning, managing, and evaluating Nonprofit Programs is a plus.
● Ability to complete a broad range of diverse wildfire safety education and outreach activities and programs.
● Ability to evaluate program results, both quantitatively and qualitatively.
● Excellent written and verbal communication skills, as well as skilled in facilitation and delivering presentations.
● Ability to think both strategically and be accountable to precise detail work.

● Skilled in Microsoft Office suite of products: Word, Excel, and PowerPoint.
● Experience with ArcGIS Pro, ArcGIS Online, or Fulcrum is a plus.
● Ability to prepare clear, concise, accurate, and well written reports on a monthly basis.
● Able to help research and collaborate on competitive grants proposals.
● Create new and effectively maintain strategic partnerships.
● Must possess a current, valid California driver's license, current proof of automobile insurance coverage, reliable transportation, and be comfortable with driving a personal vehicle to conduct inspections. Mileage is reimbursed.

● Knowledge of local, state & federal laws and regulations related to wildfire a plus.
● Bilingual in Spanish is a plus.

Compensation and Benefits

● Excellent salary commensurate with experience. Starting salary range is $75,000.
● Benefits include dental, vision, and health insurance. Additionally, VRFSC offers retirement options with a discretionary end of year match. VRFSC also provides paid vacation and sick pay, as well as paid holidays.
The position is designed to be full time, but given the right candidate, there is flexibility for job sharing.
Training in job-related skills will be provided free of cost.
