One Federal Solution (OFS) is seeking an Extramural Support Assistant to support our Federal Government client in Bethesda, MD. As the Extramural Support Assistant, you will provide services and deliverables through performance of working with grant applications and reports, travel planning and execution in NIH travel systems (GCE), and committee management as follows:
Task & Duties:
- Supports extramural administrative functions by providing administrative and technical services to NIDCD Scientific Review Officers, and other extramural components as needed
- Provide administrative and technical support to internal and external customers.
- Provide administrative and procedural support, collaborating with personnel in making logistical and travel arrangements for Face-to-Face, Hybrid and Virtual meetings and conferences
- Supports post-meeting review functions by providing technical services verifying and entering scores, as requested by the Scientific Review Officer.
- Supports post-meeting review functions by providing direct administrative and procedural support, editing Summary statements in accordance with current NIH and NIDCD practices.
- Maintain knowledge of current regulations, policies, and procedures concerning general review administration, organization, procurement, travel, personnel, etc.
- Review documentation for compliance with policy and procedures; interpret instructions for adherence to format; collect data; provide summaries for analysis and interpretation.
- Serve as a resource for staff regarding established policy; keep abreast of new guidance and policies; disseminate information to staff and respond to requests for information regarding status of projects or actions.
- Develops, maintains, and updates documentation, databases, and spreadsheets for review personnel, for tracking, analyzing and reporting of review applications and personnel.
- Provides back-up travel support to staff in all tasks associated with travel. Reviews the staffs travel for accuracy and stays current with the NIDCD-specific processes and systems; the latest Federal Government travel processes and procedures; the Concur (CGE) travel system, and other aspects of the job as needed.
- Prepare requisitions for purchase of office supplies and miscellaneous items; maintain office records including office procurements and reimbursement procedures.
- Enter requests for office supplies and registrations using POTS. Process and track order requests using government systems (i.e., POTS) on behalf of branch staff.
- Coordinates with management on special projects.
- Perform a variety of complex, specialized support tasks on an ongoing and ad hoc basis; manage special projects, draft letters and reports, prepare/edit presentations, develop meeting agendas and create and update spreadsheets and databases.
Qualifications & Requirements:
- Bachelor’s Degree
- Proficient written and oral communication skills
- Proficient with Microsoft Excel and Word
- Experience with NIH databases
- Experience in coordination and planning of NIH Intramural and or Extramural meetings.
- Experience in travel planning and execution in NIH travel systems, specifically Concur (CGE)
- Knowledge of Federal Travel Regulation
